Based in Portland Oregon, we work primarily in the 11-western states with regional offices in Reno, NV; Phoenix, AZ; and Salt Lake City, UT.As an Administrative Assistant, you will work with our team at our central office in Phoenix, AZ. In this role, you’ll be responsible for supporting our Arizona team with onboarding new hires in addition to general office duties and miscellaneous tasks. The successful candidate will demonstrate a high attention to detail, ability to multitask, and experience working within a team environment. This position is not eligible for remote work.   • Supports the construction team with data entry, and completing tasks critical to business success
  • Assist with the uploading, printing, and electronic filing of construction drawings
  • Schedules and coordinates meetings, appointments and maintains calendars
  • Cover the reception area at the office, welcome guests, and help with shipping and receiving
  • Prepares and distributes daily/weekly communications including reports, invoices, transmittals, and various other documents
  • Supports key processes such as timecard submissions, scheduling transfers and new hires into safety training etc.
  • Maintains filing systems (electronic and physical) with a focus on document control
  • Communicate clearly and effectively with internal and external stakeholders and corporate headquarter personnel
  • Supports the field with material purchases and PO tracking
  • Help manage special projects as assigned
  • Reports to the Site Manager, or as designated

What you will need to be successful in this role:

  • Computer skills, proficient with MS Office Word and Excel, including an eagerness to learn software which is proprietary to Harder
  • Strong organizational skills
  • Excellent verbal and written communication skills, able to communicate clearly and well to internal and external business partners
  • Ability to effectively interact with the construction industry personnel and home office staff members
  • Experience organizing, maintaining, and logging documents
  • Ability to maintain confidentiality
  • Previous successful experience in a construction office environment is preferred
  • Experience with data entry
  • Team mentality

Education/Experience

  • 2-3 years in an administrative role
  • Previous experience in construction or working with local union halls preferred
  • Experience coordinating drug testing and background checks for new hires preferred
  • Bilingual in Spanish preferred
