Job Description

GENERAL SUMMARY OF DUTIES: Responsible for registering new patients,

scheduling all appointments and sending messages to the corresponding offices.

SUPERVISION RECEIVED: Director of Operations, Call Center Supervisor

ESSENTIAL FUNCTIONS:

  1. Registering new patients, entering all demographics and insurance information.

  2. Counseling patients, appointment verification and scheduling

appointments/surgeries for multiple physicians.

  1. Directing calls to the appropriate department.

  2. Must be capable of multi-tasking and working with a diverse patient population.

GENERAL SUMMARY OF DUTIES:

  1. Answer incoming telephone calls

  2. Accurately book appointments in Next Gen system.

  3. Take messages from patients, doctors, pharmacies etc.

  4. Take consultation requests from doctors and hospitals.

  5. Confirm appointments for the following business day.

  6. Assist with rescheduling of appointments when changes in scheduling occur.

  7. Registering new patients, entering all demographics and insurance information.

Verify insurance and provide appropriate accurate information to the patient

related to insurance, time of visit, paperwork and arrivals as well as office

protocols.

  1. Counseling patients, appointment verification and scheduling

appointments/surgeries for multiple physicians.

  1. Directing calls to the appropriate department/ clinical tasking with appropriate

documentation.

  1. Accurately schedule surgeries, provide pre op instructions.

  2. Maintain accurate and complete documentation in each patients chart related to

the calls/messages.

  1. Make outbound new patient calls and welcome new patients to the practice.

  2. Must be capable of multi-tasking and working with a diverse patient population.

  3. Provide back up support for the Front Office as needed.

  4. Other duties as needed.

EDUCATION/EXPERIENCE:

High School

2 years of previous experience scheduling appointments and/or surgeries

Experience with insurance.

KNOWLEDGE:

  1. Knowledge of clinic policies and procedures.

  2. Knowledge of managed care contracts and utilization.

  3. Knowledge of computer systems, programs and spreadsheet applications.

  4. Knowledge of medical terminology and be familiar with scheduling software.

SKILLS:

  1. Skill in gathering and reporting claim information.

  2. Skill in solving utilization problems.

  3. Skill in written and verbal communication and customer relations.

  4. Experience in a medical office as a scheduler

  5. Fast and accurate data entry

  6. Service oriented, patient demeanor

  7. Ability to multi-task, manage time effectively, and deliver results

  8. Strict attention to detail

  9. Intermediate computer skills and knowledge of Microsoft Office

ABILITIES:

  1. Ability to work effectively with medical staff and external agencies.

  2. Ability to identify, analyze and solve problems.

  3. Ability to deal courteously and professionally with internal and external

customers.

  1. Ability to provide excellent customer service

PHYSICAL/MENTAL DEMANDS: Requires sitting and standing associated with a

normal office environment.

ENVIRONMENTAL/WORKING CONDITIONS: Normal busy office environment

with much telephone work. This position is a full time call center agent responsible for 8 hours a day of inbound calls.
