The Administrative Assistant I provides a variety of administrative and clerical duties supporting the Administrative II's and Paralegals. This individual will work with limited supervision, and cooperatively with the Legal staff.
Essential Duties:
- Knowledge of Microsoft Office; WORD, EXCEL, PowerPoint and Outlook are needed to schedule meetings, create spreadsheets and index timelines for multiple legal projects.
- Inventory and order office supplies, including FedEx and USPS mailing supplies.
- Prepare and dispatch USPS certified mailings and FedEx mailings. Sort and distribute department mail.
- Prepare vendor invoices and check requests for payment in Microsoft D365. Track payments via the Legal Invoices electronic spreadsheet.
- Handles basic administrative tasks for the Legal department or for specific Legal teams.
Certifications, Licenses, Registrations:
- Valid Florida Driver's License. Must be maintained for the duration of employment.
Requirements:
- 0-2 years of Office Administrative experience required.
- Self-starter with the ability to multi-task.
- Exhibit strong organizational skills.
Qualifications:
- Strong administrative and organization skills.
- Ability to multi-task and prioritize while working in a fast-paced environment.
- Ability to produce quality work with attention to detail.
- Must be self-directed and independent with projects, while possessing the ability to work with others.
- Excellent customer service skills.
- Strong oral and written communication skills.
- Proven computer skills (including Microsoft Word, Excel and PowerPoint) with the ability to learn new programs.
- Must maintain a high level of professionalism.
Physical Demands:
While performing the duties of this job the employee may be required to sit or stand for extended periods of time. Will be required to bend, twist, reach, push, pull, and operate office machinery. Must be able to lift up to thirty pounds. Specific work assignments may change without notice. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job.
Work Schedule:
Schedules will vary depending on business needs, and may entail working nights, weekends and holidays. Must be flexible to work outside of departmental operating hours.
