- Corporate Administrative Assistant - Part Time
Masco Corporation's Legal Department has an opening for an Administrative Assistant. The Masco Legal Department strives to be a trusted business partner with corporate management, providing proactive advice to support critical initiatives while performing compliance and corporate governance responsibilities in a timely and efficient manner. Primary Duties and Responsibilities:
Provide administrative support, primarily for the Legal Department's corporate group
Provide support for our Board of Directors, including engaging with board members and executives, organizing board meeting documents in our board portal, preparing and managing detailed task lists for Board matters, maintaining Board documentation, and preparing and collating responses to D&O questionnaires
Coordinate outreach to our largest institutional shareholders, including engaging with shareholders and maintaining record of shareholder communications and summaries of shareholder meetings
Support our subsidiary management process by preparing corporate resolutions, preparing and filing reports and certifications with various governmental entities, maintaining subsidiary information and corporate documents in our subsidiary database and engaging with our business units to obtain subsidiary information
Provide NYSE and SEC filing support, including preparing and filing the Annual NYSE Written Affirmation and CEO Certification, obtaining SEC codes and maintaining SEC filings
Perform other corporate and Legal Department projects
Draft emails, meeting agendas and memos
Manage calendars and schedule meetings
Provide other administrative support, including organizing and maintaining electronic and paper files and notes, processing invoices and coordinating travel arrangement.
Submitting invoices for payment
Preparing and revising Word, PowerPoint and Excel documents.
Qualifications:
High School Diploma
5+ years of senior level administrative experience
Excellent communication skills
Strong organization and time management skills, with ability to manage detailed task lists and meet deadlines
Strong attention to detail and accuracy, including excellent proofreading skills
Proficiency in Microsoft Office Suite applications, to include intermediate level proficiency with Word, Excel, PowerPoint and Teams; facility in utilizing web-based systems and portals
Excellent judgment and professionalism with keen focus on providing outstanding customer service and business partnering, particularly to our board of directors and executives
Strong interpersonal skills and ability to work effectively and respectfully in a team
Ability to work independently and proactively and successfully handle multiple tasks, customers and priorities
Strong problem-solving skills with solutions-orientation mindset; ability to develop or improve work processes
Preferred Qualifications and Skills:
10+ years of legal administrative experience at an in-house law department or outside law firm (corporate area experience is preferred)
Bachelor's or Associate's Degree
Experience working with a variety of electronic management systems, including document management system (OpenText eDocs/DMlO experience a plus), subsidiary management system (hCue a plus) and legal billing system (LegalTracker a plus).
