Job Summary

The Director of Firm Support Services is responsible for the smooth-running, day-to-day operation of the firm, and directly overseeing Office Managers and Document Processing Teams. This role will direct and manage the day to day logistics, facilities and other operational support functions across the firm. This includes planning, organizing and supervising the procurement of the best quality equipment, goods, and services for the firm from reliable vendors at the most competitive prices and contract terms. This individual is responsible for leading and developing his or her team, and providing coaching, training, and feedback as needed. This role brings leadership to the support services function within the firm, as well as consistency, accountability and efficiency. This individual reports directly to the Chief Operating Officer, and carries out policies made by the Board of Directors and Management Team.

Essential Functions

  • Create the strategy to proactively address facility, logistical and other operational support needs of all U.S. locations within the firm

  • Directly supervise Office Managers and Processing Team Manager

  • Goal setting and annual review process, including performance management and development of direct reports

  • Implement firm initiatives or processes at the local office level and firmwide through support from direct reports

  • Analyze internal processes for efficiencies and propose procedural or policy changes as appropriate

  • Develop plan to prioritize, organize, and manage office support team workload

  • Serve as a liaison with external clients, the public, vendors, building management and others outside the firm, either directly or through support from direct reports

  • Negotiate contracts for goods, services, supplies, and equipment ensuring the best possible terms and service, quality, cost-effectiveness and timely delivery

  • Manage facilities related leases and contracts, including physical alterations/renovations, as well as managing and monitoring lease terms and payments from leases and subleases

  • Project Manage any office moves as lease agreements come to term

  • Lead all office locations safety and emergency teams and communications (CPR, AED certifications)

  • Analyze internal processes and recommend and implement procedural or organizational changes to improve operational support

  • Manage local office support and Employee Welfare budgets; implement cost savings and expense control as needed

  • Implement firm wide initiatives/processes from Firm Leadership

  • Develop constructive and cooperative working relationships with others, and maintain them over time

  • Perform day-to-day administrative tasks such as maintaining information files and processing paperwork as needed

  • Implement office events and community engagement in conjunction with office leadership and Human Resources Team

Additional duties as required

Qualifications

  • Bachelors or Associate's degree preferred or equivalent experience in a Professional Services' firm

  • Minimum 8+ years of executive administrative or office management experience working in a professional services firm or office setting

  • Proven experience in managing or supervising personnel

  • Knowledge of office manager responsibilities, systems and procedures

  • Ability to work alone and/or unsupervised

  • Ability to work overtime as needed and/or on a seasonal basis (weekday evenings and weekends)

  • Must be honest and ethical and maintain confidentiality when necessary

  • Must be reliable, responsible, dependable, and fulfill obligations

  • Willingness to lead, take charge, and offer opinions and direction

  • Strong attention to detail and problem solving skills

  • Flexibility and adaptability required

  • Ability to build relationships with all levels of employees

  • A commitment to quality, continuous improvement, and teamwork

  • Ability to multitask and prioritize

  • Excellent written and verbal communication skills

  • Excellent computer skills, including proficiency in Microsoft Office (MS Word, MS Excel, and MS Outlook in particular)
