Job Description
We are seeking a reliable and organized Administrative Assistant to provide essential support to our management team. The Administrative Assistant will assist with a variety of office tasks to ensure the smooth operation of our workplace. This role is ideal for someone seeking to contribute to the efficient functioning of our office. Essential Functions:
- Screening resumes and applications to identify qualified candidates who meet the job requirements and company culture.
- Managing all candidate communication, providing timely updates and scheduling interviews with hiring managers and interview teams.
- Utilizing UKG to track candidate progress and maintain accurate records.
- Assisting with the offer process and coordinating with the hiring team to ensure a smooth transition to onboarding.
- Welcome and assist visitors, creating a professional and inviting office atmosphere.
- Support event planning and coordination to ensure successful execution.
- Prepare, format, and distribute memos, reports, and other essential office documents.
- Organize and maintain both digital and physical files within the company's filing systems.
- Accurately input and retrieve data from spreadsheets, databases, and other organizational systems.
- Coordinate with vendors, service providers, and building management to address office needs and ensure smooth operations.
- Provide support to team members by assisting with various tasks and projects as needed.
- Collaborate with corporate HR on additional tasks and initiatives as required.
Qualifications:
- 10+ years of administrative experience required; Recruiting experience preferred
- High school diploma or equivalent
- Trustworthy and reliable.
- Friendly and welcoming demeanor.
- Excellent organizational and multitasking abilities.
- Strong communication skills, both verbal and written.
- Previous office experience is required.
- Proficiency in basic computer applications (e.g., Microsoft Office, email).
