Position Overview:

The Site Coordinator plays a key role in supporting daily office operations and departmental functions. This position is responsible for greeting visitors, assigning and preparing conference rooms, and providing general clerical and administrative support to leadership and staff. Core duties include coordinating departmental scheduling, managing deliverables, tracking expense reports for quality control, and supporting both internal and external partner communications.

The role also supports corporate marketing initiatives, and helps ensure operations stay within budget. A key function of the position includes planning and coordinating events, such as determining needs for food, decorations, and supplies; placing orders; and overseeing volunteer recruitment and event-day execution. Additionally, the Administrative Coordinator provides technical and administrative backup, including coverage support, to ensure smooth departmental operations.

Strong organizational skills, attention to detail, and the ability to manage multiple priorities are essential for success in this role.

Your Impact:

Responsible for working at the reception desk in the Executive Office. Greet, screen and direct all visitors. Responsible for assigning conference rooms.

Performing clerical duties such as:

  • quality control of expense submissions, ensuring they are aligned with our corporate travel and budget policies

  • assisting with the Annual Records Management Review

  • tracking key deliverables and coordinating with internal and external stakeholders

  • providing back-up office coverage for Executive Office colleagues when they are on vacation

  • maintaining and ordering office supplies

  • Staff may also be responsible for providing administrative, secretarial and/or technical support typically for a department or group of individuals.

Responsibilities may include:

  • meeting coordination

  • transaction processing and associated data entry and/or filing

Qualifications:

  • High school diploma or an equivalent combination of education and experience from which comparable knowledge and skills may be acquired is required

  • One year office experience and experience with Microsoft Office software

  • Keen attention to detail, sound judgment, tact, diplomacy, and discretion

This position has an annualized market-based salary range of $63,000 - $95,000 and is eligible to participate in the annual incentive program. The final salary offered will generally fall within this range and is dependent on various factors including but not limited to the responsibilities of the position, experience, skill set, internal pay equity and other relevant qualifications of the applicant.
