Position Description:

The Admin II will be responsible for providing administrative support to Legal Services, including Litigation, Timeshare Registration, and Real Estate Acquisition and Development. Employees in this job are responsible for the coordination and performance of administrative responsibilities for the department. Expected to manage multiple priorities with little or no supervision and with a high degree of accuracy, confidentiality, discretion and independent judgement. They are expected to be proactive, to demonstrate organizational and decision making skills, to be an effective communicator both in written and verbal communications and operate with a high level of professionalism and discretion as these communications will be time-sensitive, widely distributed, and confidential.

Essential Duties and Tasks:

  • Preparing check requests and monthly reconciling of corporate credit card accounts for Paralegals and Attorneys; tracking and submitting for payment of all legal bills.
  • Maintaining records of all current matters being handled by the team, managing the electronic files for all matters.
  • Responsible for sending and tracking FedEx packages and certified mail.
  • Prints, scans, and prepares various documents for Paralegals and Attorneys.
  • Any additional responsibilities that may become evident and necessary to conduct legal business.

Education and/or Experience:

  • High School Diploma.
  • 5-7 years of administrative experience.
  • Experience with a timeshare or condominium management company is preferred.
  • Knowledge of civil litigation process is helpful.

Qualifications:

  • Ability to multi-task and prioritize while working in a fast-paced environment with strict deadlines.

  • Process oriented, organized and must possess exceptional attention to details.

  • Self-directed and independent with projects while possessing the ability to work as a team player to collaborate and develop strong relationships.

  • Excellent written and verbal communication skills.

  • Excellent customer service skills.

  • Advanced computer skills (including Microsoft Word, Excel and PowerPoint) with ability to learn new.

Physical Demands:

While performing the duties of this job the employee may be required to sit or stand for extended periods of time. Will be required to bend, twist, reach, push, pull, and operate office machinery. Must be able to lift up to thirty pounds. Specific work assignments may change without notice.
