Job Description
The mission of Equitas Academy is to prepare students for college, careers, and life pursuits, and inspire them to be champions of equity. We currently serve over 2,000 students and operate four elementary schools and two middle schools in the Pico-Union neighborhood of Los Angeles.
The Data Systems Specialist plays a critical role within the Technology Department, overseeing the integrity, security and functionality of student information systems (SIS) and ensuring compliance with all state and federal data reporting requirements, including CALPADS. This position supports school-based teams in accurate data entry, manages data quality initiatives, and provides critical reporting and system support to maintain operational excellence across the organization.
Reports To: Director of IT Operations and Systems
This is a full-time, hourly position.
Essential Responsibilities
- Manage the administration and maintenance of the organization's Student Information System (SIS).
- Ensure data compliance with federal, state, and local regulations, including oversight and timely submission of CALPADS reporting.
- Monitor, audit and validate student enrollment, demographics, attendance and discipline data.
- Serve as the primary point of contact for system configuration, troubleshooting and data integrity issues.
- Create and manage custom reports and data extracts for leadership, school sites and external agencies as needed.
- Train and support school-based Office Coordinators and other staff on best practices for SIS data entry and management.
- Maintain clear documentation of SIS procedures, workflows and reporting deadlines.
- Collaborate with Operations, Schools, and other departments to support data-driven initiatives and compliance needs.
- Assist in the implementation and maintenance of integrations between SIS and third-party systems (e.g., assessment tools, communication platforms).
- Support the state-mandated testing processes by managing SIS-related data configurations (e.g., rosters, accommodations).
- Proactively identify opportunities for system optimization and recommend solutions to improve data management practices.
- Other duties as assigned to support the mission and operational needs of the organization.
Minimum Qualifications:
- 2+ years of experience working with Student Information Systems or comparable data systems.
- Strong understanding of CALPADS reporting requirements.
- Proficiency with Microsoft Excel, Google Workspace (Docs, Sheets, Forms), and database management concepts.
- Exceptional attention to detail, organizational, and analytical skills.
- Ability to troubleshoot complex system and data issues independently.
- Excellent communication and training skills with both technical and non-technical audiences.

Preferred Qualifications:
- Bachelor’s degree preferred.
- Prior experience supporting K-12 education data systems.
- Familiarity with California school reporting requirements beyond CALPADS (e.g., SARC, CRDC).
- Experience working in a multi-site school environment.

Salary
The starting salary for this position is $30/hour.
