COMPANY INFORMAITON
Masterpiece International, part of Imperative Logistics Group and founded in 1989, has developed a leading market position in fine arts logistics and customs brokerage, serving museums, art galleries, art fairs, and private collectors.
We have an immediate opportunity for a Coordinator, Gallery & Art Fair Services for our El Segundo team! In this role you will manage the full lifecycle of international and domestic shipments, ensuring timely and accurate processing of air, sea, and ground freight. The successful Coordinator will have exceptional communication skills, organizational excellence, and the ability to collaborate across internal teams, clients, vendors, and government agencies. You'll be a key contributor in maintaining file integrity, operational compliance, and customer satisfaction.
ESSENTIAL JOB FUNCTIONS
· Timely completion of estimate requests including but not limited to the rating and booking of Airfreight, Sea freight and Ground transportation.
· Interface with clients, vendors, and government agencies as applicable including but not limited to Customs, BIS, TSA, USDA, FDA, USFWS and DOT.
· Set up and independently manage of export/import files including logging, file setup, documentation, communications, rating and billing with ability to meet deadlines from start to completion.
· Maintain files in organized fashion including copies of all documentation, communications and other related items.
· Assist department manager with operations issues including customer satisfaction, profitability and interface with other Masterpiece offices.
· Anticipate needs of clients and seek out information to meet their demands.
· Compliance with Masterpiece policies and procedures.
· Assist department manager as necessary with maintenance of quality vendor relationships.
· Develop and maintain working knowledge of systems including, Outlook, Word, Excel and FIleMakerPro, QuestaWeb as applicable.
· Participate in conferences and meetings as applicable.
· Other duties as assigned.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
· 2+ years of logistics or freight forwarding experience, preferably in import/export operations.
· Experience with U.S. Customs and Border Protection (CBP) operations.
· Proficient in Microsoft Office Suite, especially Excel and comfortable learning new systems.
· Strong written and verbal communication skills with the ability to collaborate across departments and with external partners.
· Exceptional organizational skills with attention to detail and a commitment to accuracy.
· Ability to prioritize tasks, meet deadlines, and thrive in a fast-paced, deadline-driven environment.
· CargoWise experience highly preferred.
· This is a hybrid position. Applications should have the ability to work in office 3 day a week.
COMPENSATION
$65000-$90000 annually. We consider a variety of factors in determining base compensation including but not limited to, experience, education, certifications, internal equity, market data and geography.
PHYSICAL REQUIREMENTS
The position is in an indoor, office environment, requires the ability to communicate with internal and external customers or vendors verbally and in writing, sit for periods of time, operate typical office equipment which requires seeing and the use of a keyboard.
