Job Summary:

The Legal Analyst provides critical support to the Legal Department, working closely with paralegals to ensure smooth operations and accurate legal and administrative processing. This role includes managing multiple calendars, assisting with subpoena and litigation workflows, coordinating with internal and external stakeholders, and handling legal documentation and reporting. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and is eager to grow into a more advanced legal operations or paralegal role over time.

Responsibilities:

Paralegal Support

  • Collaborate directly with paralegals to assist with legal case management, file maintenance, research, and documentation.
  • Draft, edit, and format legal correspondence, internal memoranda, and reports.
  • Proofread legal documents for grammar, formatting, and compliance with internal standards.
  • Maintain and update legal records, shared drives, and case tracking systems.

Litigation & Subpoena Docket Support

  • Support the subpoena docket by tracking incoming requests, gathering responsive materials, and coordinating with the paralegal responsible for subpoena responses.
  • Monitor the service of legal documents (e.g., subpoenas, summonses, and notices) and ensure timely routing and response.
  • Assist with litigation support including document management, deadline tracking, and coordination with outside counsel.

Calendar & Scheduling Management

  • Manage and coordinate six calendars for team members, ensuring timely scheduling of meetings with internal departments, external counsel, and vendors.
  • Proactively resolve scheduling conflicts and confirm meeting logistics.
  • Support meeting preparation by creating and distributing agendas and materials.

Reporting and Documentation

  • Run weekly reports and distribute relevant data or summaries to team members.
  • Maintain accurate logs of legal research, case updates, and document status.
  • Assist with the preparation of materials for internal meetings and executive briefings.

Vendor Payables & Invoice Management

  • Review incoming invoices from external legal vendors to ensure accuracy and proper coding.
  • Collaborate with the vendor payables team to facilitate invoice approvals and process outgoing payments.
  • Track and follow up on outstanding billing issues and assist with reconciliation as needed.

Internal & External Communication

  • Act as a liaison between the Legal Department and other internal teams, outside counsel, and external partners.
  • Provide professional, timely responses to inquiries and requests.
  • Prepare, package, and send outgoing legal correspondence or time-sensitive mailings.

Requirements:

  • Outstanding attention to detail with a high level of accuracy.
  • Ability to thrive in a fast-paced environment and manage multiple tasks simultaneously.
  • Excellent communication skills-written, verbal, and interpersonal.
  • Strong organizational and problem-solving skills.
  • Proficiency in Microsoft Office Suite (especially Outlook, Word, Excel), and comfort with document and database systems.
  • Ability to manage confidential information with discretion and professionalism.
  • Comfortable working independently while being an active and collaborative team contributor.

Education and Experience:

  • Bachelor's degree required (any discipline).
  • Prior experience in a legal, administrative, or business support role is preferred.
  • Candidates with strong professional skills, attention to detail, and an interest in legal operations or paralegal work are encouraged to apply.

Candidates should be comfortable with an on-site presence to support collaboration, team leadership, and cross-functional partnership.
