POSITION OVERVIEW

The Conservatory Music Program Coordinator ensures the smooth operation of the after-school music program, serving as the logistical hub for students, teachers, and families. This role manages all scheduling, communications, and operational aspects while coordinating with the extended care team to facilitate student transitions to music lessons. This part-time position (15-20 hours/week) is directly supervised by the Director of Extended Care. The coordinator works collaboratively with the Extended Care Director, Music Director, Music faculty and private instructors and School administrative team.

KEY RESPONSIBILITIES

Scheduling & Logistics Management:

  • Schedule and maintain all private lessons
  • Assign and manage classroom/practice room assignments
  • Resolve scheduling conflicts and arrange make-up lessons year-round
  • Maintain real-time calendar accuracy for aftercare staff and teachers

Student Transition Coordination:

  • Collaborate with extended care team to ensure timely student transitions to music lessons
  • Support teachers in tracking student arrivals and follow up on absences
  • Implement and maintain student check-in/check-out procedures
  • Resolve any transition issues between aftercare and music instruction

Records & Financial Administration:

  • Maintain accurate daily attendance records
  • Process and submit monthly billing spreadsheets to accounts department
  • Approve and submit teacher hours twice per month
  • Track and report on program enrollment metrics

Communication:

  • Serve as primary contact for parent inquiries via email
  • Manage new student registration and scheduling requests
  • Communicate schedule changes to teachers and families promptly
  • Escalate issues to appropriate administrators:
    • Facility/equipment needs
    • Student behavioral concerns
    • Parent concerns
    • Program guidelines questions

Event & Performance Support:

  • Coordinate concert scheduling with school calendar
  • Prepare and distribute performance programs
  • Provide on-site support during all conservatory concerts (4-6 evenings/year)
  • Manage performance space logistics

Program Operations:

  • Ensure practice rooms are properly equipped and maintained
  • Manage inventory of music stands, stands, and teaching materials
  • Oversee piano maintenance schedule
  • Distribute and collect program evaluation forms

SKILLS AND QUALIFICATIONS 

  • 2+ years administrative experience (education or arts environment preferred)
  • Basic musical knowledge (instrument experience beneficial)
  • Proficiency with scheduling platforms
  • Competency in Google Sheets/Excel
  • Exceptional organizational and problem-solving skills
  • Strong interpersonal and communication abilities
  • Ability to navigate school environments and child safety protocols
  • Patient, child-friendly demeanor for student interactions

Schedule & Compensation:

  • Afternoon availability required (2:00-6:00 pm)
  • Additional evening hours for concerts
  • Hourly rate: $25-30 (commensurate with experience)
