Basic Purpose

We are seeking a detail-oriented IT Warehouse Coordinator to manage warehouse operations and support IT asset management. This role oversees the receipt, storage, tracking, and distribution of technology assets while maintaining an organized and efficient warehouse. Key responsibilities include inventory management, asset tracking and reconciliation, surplus handling, and logistics coordination. The coordinator will also oversee the Manage Engine ticketing system, ensuring timely resolution of asset-related requests. This role requires collaboration with internal teams and external partners to facilitate smooth material movement and maintain warehouse efficiency

Typical Functions

  • Oversee the tracking, storage, and lifecycle management of IT assets, document boxes, furniture, and other materials across the state. Ensure accurate logging in the Manage Engine system, coordinate asset movement and decommissioning, and maintain compliance with statewide standards for efficient resource allocation.
  • Conduct regular inventory checks, counts, and audits to ensure that all IT assets are accounted for. Identify and report discrepancies or issues in inventory to leadership.
  • Oversee the Manage Engine ticketing system, ensuring asset-related requests are properly logged, assigned, and resolved in a timely manner. Keep accurate records of IT asset movements, updates, and lifecycle changes while working with internal teams to maintain data integrity. Review ticket trends, generate reports, and suggest process improvements to streamline asset management and enhance efficiency.
  • Plan and coordinate warehouse activities, including receiving, storing, and moving IT materials and equipment. Ensure that the warehouse is well-organized and that items are easily accessible when needed.
  • Prepare and submit regular inventory reports, including metrics related to monitored IT assets, surplus, and reconciliation findings.
  • Coordinate with various departments to ensure that assets are properly managed, distributed, and utilized. Support other teams with IT equipment needs as required.
  • Manage routine warehouse inspections to ensure a safe, organized, and efficient environment. Oversee the handling, storage, and transportation of assets using company vehicles, including flatbed trucks, vans, cars, and forklifts. Communicate with warehouse customers regarding purchases, deliveries, and supply conditions while addressing operational concerns and assisting with facility maintenance to maintain smooth operations.
  • Adhere to all safety procedures and regulations in warehouse operations.

Level Descriptor

This is the basic level of this job family, where employees are assigned responsibilities for performing entry-level work in a training status to build their skills in application development and analysis methodologies. This individual will oversee the Manage Engine ticketing system, ensuring asset-related issues are properly logged, assigned, and resolved in a timely manner. This is for hardware, wireless, and software tracking systems.

Education and Experience

Education and Experience requirements at this level consist of the completion of twelve semester hours of computer science or management information systems coursework at an accredited college or university; or completion of a minimum of 156 hours of vocational or technical education courses resulting in certification in applications development; or an equivalent combination of education and experience, substituting one year of experience in applications development for the required education.

Knowledge, Skills, Abilities and Competencies

Knowledge, Skills, and Abilities required at this level include knowledge of computer technology, programming languages, coding processes, and security measures. Ability is required to review and translate specifications to write programs to produce desired results, to develop and use appropriate testing protocols, and to use and interpret technical manuals and publications.
