Job Description

Administrative Graduate Assistant (AGA) Graduate School

The Fulbright Administrative Graduate Assistant (AGA) works under the direction and supervision of Liberty University’s Fulbright program advisor and scholar liaison to promote and recruit through academic departments, faculty and relevant offices to develop materials, presentations, webinars, update canvas courses and other support mechanisms to increase undergraduate, graduate and doctoral students’ access to Liberty University’s research, creative inquiry activities and scholarship development.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Support advising, nomination and submission cycles for a portfolio of scholarship.

  • Support mentoring undergraduates, graduate students and recent alumni for major scholarships including individual and group advising, mock interview support.

  • Provide feedback on application materials including research proposals, grant essay statements, and other written application components.

  • Help design strategy and support of office activities including classroom visits, events, creating outreach materials and social media campaigns, serving on selection panels including Liberty University’s Fulbright campus committee evaluation (CCE) and liaising with partner departments and offices

  • Support office efforts to collect, organize and analyze data with the goal of understanding the current trends in undergraduate, graduate and doctoral research and improving marketing effort office workflow and mentorship strategies.

  • Be present for all necessary events put on by the Fulbright program on campus.

  • Assist the Fulbright Advisor as needed with student and faculty grant applications

  • Prepare binders with Fulbright background information for new committee members, deans, heads of departments, and selected programs at Liberty (such as the Honors College, GSA, Career Services, CTE, Office of Sponsored Grants, Debate Club, ROTC, etc.)

  • Uphold and follow The Graduate School Honor Code and Graduate Assistantship Handbook.

Other responsibilities:

  • Coordinate with Helms School of Government staff on Fulbright Advisor's and guest speakers' travel

  • Track Fulbright-related expenses in dedicated spreadsheet

  • Order necessary office supplies

  • Arrange for and coordinate food services for Fulbright campus interviews and meetings with students

  • Prepare seminar materials for other international fellowship workshop in the fall

  • Obtain from Fulbright (New York and Washington, DC offices) official art and logos for publication on LU’s new Fulbright website

  • Contact the Institute for International Education (IIE) and the Council of International Education of Scholars (CIES) to obtain Fulbright brochures and materials, and

  • Assist with updating Fulbright and other international fellowship website

  • Assist visiting Fulbright scholars to LU (students and faculty)—communicate with them and arrange for housing and other logistics with appropriate LU departments

  • Help the Fulbright Program advisor and scholar liaison with creating materials for Fulbright newsletter and albums for the campus Deans and Provost’s office

  • Consistently meet with and assist the Fulbright Program advisor to plan, draft and finalize instructions to help students and faculty with Fulbright applications.

  • Collaborate with other graduate assistants, staff, faculty, departments, and colleges/schools across the university on tasks and initiatives originating from The Graduate School.

SUPERVISORY RESPONSIBILITIES  

The Graduate Assistant Supervisors are responsible for abiding by the Graduate Assistantship Handbook and overseeing the Administrative Graduate Assistant for their respective departments. This should be in line with the tasks and responsibilities that will be assigned to their Administrative Graduate Assistant. They are to monitor and assess the Administrative Graduate Assistants’ academic, professional, social, and spiritual growth. In addition, they will also complete Graduate Assistants evaluations for every new hire at the end of their first semester and for returners, at the end of the year.

QUALIFICATIONS AND CREDENTIALS

Education and Experience

  • Bachelor’s degree (B.A./B.S.) degree from a four-year college or university preferred. 
  • Minimum Qualifications: Must be accepted into, or currently enrolled in a master’s or doctorate program by the start date.
  • Preferred Qualifications: Bachelor’s degree with a relevant combination of writing, communication, planning and coordinating events, and reporting experience. Must be enrolled in a master’s or doctorate program and have previous teaching experience.
  • Experience using Microsoft Office.
  • Ability to attain an understanding of all technical systems that support the role of being an AGA.
  • Must live in the local area in order to report to work on campus.

ABILITIES AND COMPETENCIES ESSENTIAL TO THE FUNCTION OF THE JOB

Communication and Comprehension

  • Ability to effectively communicate both verbally and in writing to convey clear, well-articulated information.
  • Ability to understand, speak, and write English in order to convey messages and correspond in an articulate and professional manner.
  • Possess public communication skills that allow professional representation of Liberty University to a variety of business, government and community customers and associates.
  • Strong organizational skills.
  • Computer and scheduling skills.

Problem Solving

  • Intuitively able to reason, analyze information and events, and apply judgment in order to solve problems of both a routine and complex nature.

Technology Competencies

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to learn new software
  • Excellent computer and document formatting skills.

Physical and Sensory Abilities

  • Required to travel to local and campus locations.
  • May be required to sit to perform deskwork or type on a keyboard.
  • Regularly required to hear and speak in order to effectively communicate orally.
  • Regularly required to stand, walk, and climb stairs to move about the campus.
  • Handle materials, reach overhead, kneel or stoop in order to conduct business.
  • Regularly lift 10 or fewer pounds.

WORKING CONDITIONS

Work Environment

The working environment in which one will typically perform the essential functions of this position is a climate-controlled setting.  It is well lighted and the noise level is moderate.  Working environment also includes facilitation of events outdoors occasionally.
