The Operations Support Manager performs multi-functional operations encompassing procurement management, personnel security oversight, and technical documentation development. This leadership role requires managing cross-functional processes, analyzing performance data to drive operational excellence, and implementing strategic initiatives to optimize efficiency. âResponsibilities include:
âPurchasing/Procurement:
- âManage procurement operations including vendor quote requests and contract negotiations
- âOversee preparation and maintenance of audit-compliant procurement files and financial tracking systems
- âMonitor and track financial transaction data and administrative tracking logs
- âLead procurement process improvements and cost optimization initiatives
- âEnsure compliance with operational instructions, state, and federal procurement regulations
âPersonnel Security Management:
- âOversee personnel security compliance programs and documentation management
- âLead security awareness initiatives and ensure team adherence to security protocols
- âManage security-related communications through emails, meetings, and leadership presentations
- âEnsure compliance with operational instructions, state, and federal security regulations
- âConduct regular security awareness training and updates for staff
âTechnical Documentation:
- âCreate and maintain standard operating procedures and process documentation
- âMine data and insights to uncover areas for focus, improvement, and reimagination in documentation processes
- âManage creation of training materials, reference guides, and process improvement documentation
- âLead special initiatives and cross-functional projects to enhance operational effectiveness
- âSupport process excellence initiatives through clear and effective documentation
âGeneral Operations:
- âProvide regular progress and performance updates to leadership
- âMaintain detailed tracking systems and administrative logs for monitoring performance
- âPerform other duties as assigned
âQualifications/ Technical Experience Requirements:
- âMust be a U.S. citizen
- âMicrosoft Office Suite experience (Excel, Word, PowerPoint) required
- âBachelor's degree preferred; Associates degree with relevant management experience required
- â5+ years of operations management experience with team leadership responsibilities
- âData analysis and reporting capabilities
- âEffective oral and written communication skills
- âAdministrative tracking and log maintenance experience
- âFinancial operations support knowledge
- âProcess improvement mindset
- âMotivated, quick learner with attention to detail
- âAbility to multitask in a fast-paced environment
âPreferred Experience:
- âExperience with analyzing performance metrics, identifying trends, and developing action plans
- âBackground in reviewing and analyzing performance statistics
- âExperience managing communications with stakeholders through various channels
- âExperience in compliance with operational instructions, state, and federal regulations
- âProactive identification and implementation of strategies to improve quality and productivity
