Employment Status: Full-Time

FLSA Status: Non-Exempt/Hourly

Schedule: M-F 8 hours a day, however, must be flexible as hours will vary

Reports to: Pastor

Summary:

The Office Manager facilitates the efficient operation of the parish office by performing a variety of clerical and administrative tasks. Will oversee the daily administrative operations of the parish, ensuring efficiency and organization in support of the pastor and staff members. This role requires strong attention to detail, coordination, and resource management to maintain smooth business functions.

Essential Duties and Responsibilities:

  • Answers incoming calls, screening when necessary and directs to appropriate staff.
  • Welcomes and interacts with parishioners and visitors.
  • Responds to and resolves administrative inquiries and questions.
  • Maintains and prepares parish calendars, agendas, and schedules.
  • Submits needed office supplies to pastor, and coordinates maintenance of office equipment.
  • Assist Pastor with any oral or written parish projects necessary for everyday business.
  • Works with office assistant to create and maintain filing systems ensuring all documents are properly organized and secure.
  • Assures sacramental records and recordings are maintained by the office assistant.
  • Adheres to safety training and protocols daily and takes precautionary measures to ensure the safety and well-being of self, and others.
  • Responsible for protecting the confidentiality of any information or material obtained in the service of the organization to include but not limited to client names and information, services rendered to clients, donors names and gifts, internal and external investigations, and financial information.
  • Adherence to the Archdiocesan Code of Conduct and the Faith and Morals policy of the Catholic faith is mandatory.
  • Every employee is required to take a solution-oriented approach in their interactions and undertakings, as well as being a team member that promotes collaboration and commitment to the mission and Vision of the organization
  • Performs other duties as assigned.

Requirements

Minimum Qualifications:

  • High school diploma and/ or 2-3 years related administrative office experience
  • Minimum 2 years previous ministry experience in a Catholic environment required or administrative role
  • Proven ability to work as part of a team promoting a cohesive positive work environment
  • Proven ability to communicate with all levels of management and staff
  • Experience with MS Office (Word, Excel, Outlook, PowerPoint)
  • Must be detailed-oriented, with excellent organizational skills and self-motivated
  • Proven ability to multitask, and complete projects in a timely manner
  • Must be flexible as work hours will vary

Preferred Qualifications:

  • Bilingual (English and Spanish)
  • Previous general office/administrative experience
  • Experience and/or ability to learn ParishSOFT
  • Excellent communication skills (oral and written), with the ability to communicate to various levels of management and staff
  • Ability to work in a team atmosphere, fostering a positive work environment

Physical Demands/ Work Environment: While performing the duties of this job, the employee is frequently required to stand, walk, sit, and occasionally required to climb stairs; balance; stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds with assistance if needed. The noise level in the work environment is usually moderate.
