Position:                        Total Rewards & Payroll Specialist
Location:                Sioux Falls


Job Description:
The Total Rewards & Payroll Specialist supports the design and administration of compensation, benefits, and payroll programs to ensure seamless, compliant, and employee-friendly experience. This role blends hands-on payroll processing with the strategic support of total rewards initiatives, including benchmarking, benefit renewals, compliance reporting, and employee communications. The ideal candidate is detail-oriented, analytical, and passionate about delivering accurate and timely service.
Responsibilities:

Payroll Processing

  • Prepare, audit, and process bi-weekly (or semi-monthly) payroll for all employees, ensuring compliance with federal, state, and local laws.
  • Manage timekeeping data, review and input adjustments (e.g., bonuses, commissions, deductions), and ensure payroll accuracy.
  • Maintain payroll records and respond to employee inquiries regarding pay, taxes, and deductions.
  • Coordinate with Finance to reconcile payroll accounts and support audits as needed.
  • Ensure accurate year-end processing, including W-2s and other tax filings.
  • Partner with the HRIS/payroll vendor to maintain accurate tax setup, including new state and local tax registrations.
  • Notify the payroll provider and internal stakeholders when hiring employees in new or remote states to ensure timely registration and compliance.
  • Stay informed on tax law changes and multi-state payroll compliance requirements, escalating potential risks when necessary.

Compensation Support
 
  • Assist with compensation benchmarking, salary structures, and job evaluation projects.
  • Support annual merit and incentive processes with accurate data and reporting.
  • Maintain compensation data and assist with market analysis.

Benefits Administration
  • Serve as the primary internal point of contact for employee benefits questions related to medical, dental, vision, life, disability, wellness, and retirement plans.
  • Coordinate day-to-day benefits activities such as enrollments, changes, terminations, and troubleshooting with employees and the benefits broker.
  • Partner with the benefits broker on open enrollment planning, communication materials, and employee education.
  • Support the distribution and tracking of required employee notices and assist with audit and documentation needs as requested by the broker or compliance team.
  • Maintain accurate benefits data in the HRIS and ensure seamless integration between payroll and benefit deductions.
  • Collaborate with the broker to ensure compliance with benefits regulations (e.g., ACA, COBRA, ERISA), but does not directly manage regulatory filings.

Compliance, Reporting & Systems
  • Maintain data integrity within HRIS and payroll systems.
  • Ensure compliance with payroll and benefits regulations.
  • Prepare regular reports on payroll costs, benefits utilization, and total rewards metrics.

Employee Communication & Support
  • Serve as a primary point of contact for employees’ questions about payroll and benefits.
  • Create and deliver clear communications regarding compensation, benefits, and pay processes.

Education & Other Minimum Requirements
  • Bachelor’s degree in Human Resources, Accounting, Business Administration, or related field.
  • 2–4 years of experience in payroll processing, compensation, or benefits administration.
  • Experience with HRIS and payroll systems (e.g., ADP, Paylocity, Workday, UKG).
  • Strong knowledge of payroll regulations and tax laws.
  • Excellent analytical and Excel skills; comfort working with HR data.
  • Detail-oriented with strong organizational and time management skills.
  • Ability to maintain confidentiality and handle sensitive employee information.
  • Strong interpersonal and communication skills.
