Job Description

The Business Office Clerk plays a vital role in ensuring efficient administrative operations within our fast-paced Ambulatory Surgery Center. Responsibilities include patient check-in, data entry, reception management, document handling, and administrative support across various business office functions. The ideal candidate is highly organized and customer-focused with prior experience in a healthcare or business office setting.

Key Responsibilities

  1. Data Entry & Records Management
  • Accurately enter and update patient, vendor, and employee data in electronic systems.

  • Review data for accuracy, ensuring HIPAA and confidentiality compliance.

  • Organize, scan, and maintain both physical and digital records.

  • Generate internal reports as needed.

  1. Front Desk & Customer Service
  • Greet and assist patients, visitors, and vendors in a professional and courteous manner.

  • Answer and route calls; take and relay accurate messages.

  • Schedule appointments, verify insurance, and gather required documentation.

  • Maintain reception area appearance and manage visitor protocols.

  • Process mail and deliveries efficiently.

  1. General Office Support
  • Perform administrative duties such as copying, faxing, and document preparation.

  • Track office supplies.

  • Assist with record management, and compliance documentation.

  • Support the facility's adherence to The Joint Commission, HIPAA, and internal policies.

  • Provide additional clerical support as assigned.

Qualifications

Required:

  • High School Diploma or equivalent.

  • Proficiency in Microsoft Office (Word, Excel, Outlook).

  • Excellent organizational and communication skills.

  • Dependable with strong attention to detail.

Preferred:

  • 2 years' experience in a healthcare, administrative, or customer service role.

  • Experience with data entry and document management.

  • Current Notary
