Position Overview

ESSENTIAL FUNCTIONS

  • Under direction of Div Director, Patient Services and Staff Coordinator - CRO, coordinates and enters schedules and daily schedule changes for nursing units. Assists nursing administration with medical records, reports, and staffing variances.
  • Assists with scheduling of the flexible staffing teams in coordination with Patient Services and Patient Logistics areas.
  • Verifies licenses and certifications and assists Div Director with tracking of FMLA, overtime, sick time, leave of absenses for three flexible staffing teams.
  • Serves as liaison between nursing office and other hospital departments.
  • Assists with data collection to monitor outcomes and updates dashboard for CRO.
  • Creates computerized schedules for assigned nursing units based on established staffing patterns, policies, approved employee preferences, and manager's requests as well as to minimize overtime and other premium pay.
  • Revises and adjusts unit schedules as needed in consultation with nurse managers. Consults with nurse managers and others regarding nurse staffing and scheduling needs.
  • Adjusts and allocates core, registry, float and relief nursing personnel to provide adequate coverage to meet staffing requirements on a daily basis, including "just in time" staffing to address sick calls and other unscheduled absences.
  • Provides reports by request as well as produces regular reports available from scheduling database.
  • Reviews time sheets for proper completion and identifies discrepancies between schedules and employee clock-in and clock-out times. Discusses payroll issues with managers to resolve issues efficiently and accurately. Processes data accurately for weekend program employees. Ensures compensation is correct and accurate.
  • May support and train others on use of the nurse scheduling system.

MINIMUM REQUIREMENTS

  • Education: High School diploma or equivalent.
  • Experience: One year clerical, secretarial, staffing or scheduling experience in acute healthcare environment.
  • Knowledge and Skills: Strong organizational and interpersonal skills. Excellent verbal and written communication skills. Knowledge of regulatory standards, compliance requirements and hospital policies and procedures.
  • Special Training: Proficient computer skills; intermediate Microsoft excel and word computer skills.
  • Mental, Behavioral and Emotional Abilities: Ability to coordinate multiple project and issues simultaneously. Working knowledge and ability to apply professional standards of practice in situations. Ability to negotiate staffing and scheduling changes and address issues.
  • Usual Work Day: 12 Hours
