Job Description

SUMMARY: Under the general supervision of the Facilities/Office Services Manager and the Executive Assistant, processes volume and bulk mailings and agency incoming/outgoing mail. Assists with maintaining the building and warehouse, shipping, receiving and inventory of goods.  Performs a wide variety of clerical support duties and performs in-person and telephone reception. Daily use of office machines including copiers, folders, facsimile and postal equipment. Performs related work as required. This is a part-time position working 32 hours per week.

HOURLY RANGE: 

$18.3738 - $25.8539 per hour

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist with incoming/outgoing mail as needed. Process and distribute daily incoming mail accurately and in accordance with IRC procedure. Process outgoing mail rapidly and accurately; check for complete addressed envelopes.   
  • Process certified, UPS, and express mail accurately and on schedule.
  • Process and distribute volume and bulk mailings accurately within the allotted time frame.
  • Receive cash or checks from the public or in the mail and issue receipts. Accurately record copies, run tapes and forward tapes, copies of checks or cash in accord with agency requirements.
  • Ensure the warehouse is clean, discard items, sweep the floors, stack goods and equipment in an orderly manner.
  • Receive requests for supplies, and fulfill the requests, as directed or approved.
  • Receive the delivery of goods delivered to IRC from various companies, vendors, or contractors (e.g., USPS, Amazon, Fed Ex, etc.).
  • Clean, maintain, repair, assemble and install equipment/furniture. Clean and/or maintain furniture, walls, rug, flooring, or bathrooms. Repair or assemble furniture or equipment such as desks, chairs, copiers.
  • Move furniture or items, such as desks, filing cabinets, or similar items to various locations in the agency (e.g., moving furniture from once office to another).
  • Ensure the exterior of the building is clean, free of debris or safety hazards.
  • Assist with annual, or bi-annual, fixed asset surveys.
  • Set up conference rooms, or auditoriums for meeting or special events. Organize chairs, tables, TV’s, etc. in the desired pattern.
  • Maintain copiers and printers. Provide simple maintenance on machines, such as light cleaning, clearing jams, replacing toner, etc.
  • Responsible for all reception duties as needed. Effectively deal with anxious or irate persons.
  • Promptly and courteously answer incoming calls for agency staff. Direct people or transfer calls to requested office or person in a professional manner.
  • Check in appointments with Spectrasoft and Envoy. Print badges for all visitors and inform staff their appointment has arrived.
  • Notify intake, early start, psychologists, neurologists, legal, and other units of their scheduled appointments.
  • Take or relay messages involving consumers and staff. Keep track of phone calls and voice messages when necessary. Check and record daily general IRC voice mailbox.
  • Responsible for the audio set-up at the waiting room.
  • Provide coverage for Receptionist at the Riverside location as needed.
  • Receive and give people directions or facts in a foreign language as able.
  • Announce via intercom any in-house meeting pending in auditorium.
  • Order office supplies when needed.
  • Observe all safety rules and comply with IRC’s Injury and Illness Prevention Plan and Workplace Violence Prevention Plan.­­
  • Ability to handle a hybrid work environment consisting of working in the office and remotely at home while maintaining work productivity and efficiency; communicate via telephone calls, video conference calls, emails, and chat rooms.
  • Maintain good attendance and punctuality.
  • Use equipment appropriately and keep it in good repair. Keep work area neat and orderly and free from hazards. Observe all safety rules.
  • Prepare reports as needed or assigned on a timely basis.
  • Keep supervisor informed of pending work, work in progress, and problems encountered.
  • Drive vehicle/travel to other offices/locations to pick-up, deliver documents or materials as needed or assigned.
  • Work cooperatively and effectively with others. Perform as a member of the team, answer questions, share expertise and contribute to the harmony of the team.
  • Handle change well and be flexible and adaptable in dealing with interruptions, new priorities and new assignments.
  • Perform different or additional work as needed or assigned.

MINIMUM POSITION REQUIREMENTS:

  • High school diploma or equivalent.
  • Bilingual preferred.
  • Ability to follow oral and written direction.
  • Good verbal and written communication skills.
  • Full use of an automobile, possession of a valid California driver's license and liability insurance for the minimum amount prescribed by law or ability to provide for independent transportation.
  • Must have and maintain a safe driving record.

PHYSICAL REQUIREMENTS:

Includes daily:

  • Standing/walking/sitting for extended periods of time.
  • Lifting, carrying, stooping, reaching, pushing and pulling 60+ lbs.
  • Repetitive arm/hand/finger movements.
