Job Description
Who You'll Work With:
AllianceBernstein is seeking an Administrative Assistant to support our investment professionals. The ideal candidate will have experience supporting senior investment professionals in a demanding and time-constrained environment. This role requires a resourceful individual capable of managing core administrative tasks efficiently, including calendar management, meeting coordination, travel arrangements, and prioritizing requests from multiple sources.
What You'll Do:
We are seeking to recruit an Administrative Assistant to join the Arya team in New York to support a team of approximately 15 investment professionals (Head of Arya, Portfolio Managers and Research Analysts).
Liaise with internal business units and external parties
Handle logistics, coordination, and management of on-site meetings
Assist with conference registration and meeting logistics
Coordinate domestic and international travel for conferences and client meetings, including car services, hotel arrangements, and flights
Assist with staff onboarding and offboarding equipment setup and system access
Proactively manage calendars
Manage general administrative needs and follow up until completed successfully and in a timely manner
Maintain familiarity with all technology, compliance, travel, and expenses policy updates required to provide support to the team
Maintain confidentiality of information
What We're Looking For:
Ideal candidate has experience working in a fast-paced environment with many moving parts and has a no task too big or too small mentality
Must be enthusiastic, hardworking, and work well with others, self-assured, highly composed, extraordinarily proactive, resourceful, detail-sensitive, and articulate individual
Experience in financial services preferred
Willing and able to learn and fully understand how and why tasks satisfy business needs
Proficient in the Concur platform for travel booking
3-5 years administrative support experience.
Proficiency in Microsoft Office: Outlook, PowerPoint, Excel, Word, OneNote.
Strong written and verbal communication skills.
High attention to detail.
Highly organized and strong time management skills.
Proactive team player with the ability to handle multiple tasks simultaneously.
Undergraduate degree
