The Administrative Manager for Research (AMR) is part of the division management team and will work in concert with the MGH Department of Medicine, Research Management, and PCCM Division members, as well as internal and external collaborators, including investigators, institutions and sponsors, to coordinate the PCCM Division's research activities. This will include financial and personnel management, ensuring continuity and integrity of the overall research effort and facilitating the administrative requirements of research activities. Scope includes direct and indirect management of 50+ FTEs and fiscal responsibility for a research portfolio of approximately $40M in annual direct costs.

Summary

Provides high-level support to Research Finance leadership, Pre and Post-Award Teams, research faculty and research support staff. Manage post-award and pre-award activities of sponsored programs within portfolio. This includes maintaining the healthy financial status of all accounts within the finance manager's portfolio ensuring compliance of sponsor and institutional terms and conditions as well as proposal development, submission, and post-submission follow-up for manager's portfolio of investigators and others as needed.

Essential Functions

  • Manage multiple proposals concurrently while adhering to all necessary sponsor, institutional and Departmental guidelines, policies, and best practices.
  • Assume financial control of assigned departments and review funding expenditures by the investigators.
  • Monitor cost allowability, administrative reasonableness, appropriate award applicability, and funding availability.
  • Prepare forecast reports to PIs and senior research leaders ad hoc and on a periodic basis.
  • Collaborate with the Research Finance Coordinator to process contracts, orders and payments.
  • Manage finance team by providing training, coaching, performance assessment and directing daily work.
  • Assist with the submission process by taking on responsibility of working with PIs to create budgets and uploading to the respective Insight record.
  • Create billing agreement, clinical trial and industry basic science records.

Qualifications

Education

Bachelor's Degree Finance required or Bachelor's Degree Business Administration required or Master's Degree Business Administration preferred

Licenses and Credentials

Experience

Grant management or finance experience 2-3 years required and Grant administration or finance experience 3-5 years required

Knowledge, Skills and Abilities

  • Must have strong working knowledge of Microsoft applications such as Excel, Teams, and Word.
  • A good working knowledge of research agency funding guidelines, policies, directives, extremely helpful.
  • Must be extremely accurate working with a large amount of financial data.
  • Possess excellent written and oral communications skills.
  • Must exhibit a high degree of initiative.
  • Ability to independently identify and solve problems.
  • Must be very well organized, be able to work under time constraints and deadlines, and balance multiple competing priorities.
