The Department of Integrative Health Services is currently seeking a full time Volunteer Program and Training Coordinator to work in Miami. The Program and Training Coordinator supports the onboarding and offboarding of all Research Trainees within UHealth. Working under the direction of the Executive Director Volunteer & Spiritual Care Services this role is responsible for administrative support, project coordination, and daily operations related to Integrative Health Services. The coordinator plays a key role in maintaining compliance, managing records in VSysOne, and ensuring trainees meet institutional requirements. The ideal candidate will demonstrate exceptional organizational and interpersonal skills, with the ability to communicate effectively across departments and with individuals from diverse backgrounds.
CORE JOB FUNCTIONS
Coordinate and facilitate onboarding for new research trainees, including review and approval of application documents, scheduling orientation sessions, and assisting with compliance paperwork.
Serve as the primary point of contact for trainees, answering questions and providing clear guidance on UHealth policies and procedures.
Cultivate and maintain collaborative relationships with faculty, department coordinators, and Research Administration staff.
Direct the coordination and implementation of research trainee credentialing.
Manage trainee records through data entry and reconciliation in the VSysOne volunteer management system.
Maintain comprehensive documentation and ensure VSysOne is up to date and compliant with institutional requirements.
Coordinate with internal departments (e.g., HR, Compliance, IT, Security) to facilitate background checks, drug screenings, ID badge issuance, ULearn training, and other onboarding tasks. Administer the trainee renewal process as needed.
Ensure adherence to institutional, state, and federal regulations including Joint Commission, DPH, and DOL compliance requirements.
Act as liaison for all IHS-related inquiries via phone, email, or in-person, including department meeting participation as needed.
Provide consistent support to research trainees and their department supervisors throughout the duration of their programs.
Oversee onboarding and offboarding processes to ensure a seamless and compliant experience for all trainees.
Manage schedules, rosters, and accurate recordkeeping for all trainee programs.
Evaluate volunteer management system (VMS) processes, manage demographic data input, and generate statistical reports as required.
Build and sustain professional relationships with peer coordinators and maintain active involvement in local, regional, and national networks relevant to research trainee coordination.

CORE QUALIFICATIONS
Education:
Bachelor's degree in relevant field; equivalent of education and relevant experience may be considered
Experience:
Minimum 2-4 years of relevant experience
Knowledge, Skills and Attitudes:
Strong organizational, multitasking, and time management skills.
Exceptional communication and interpersonal abilities.
Experience with volunteer or trainee management systems (e.g., VSysOne or similar platforms).
Knowledge of regulatory and compliance standards in a healthcare or academic research environment.
Proficiency in Microsoft Office Suite and database tools.
