Executive Assistant to the Sr. Office Director
Position Summary
The Office Director Assistant provides high-level administrative and operational support to the Office Director and key leadership staff. This position ensures smooth and efficient day-to-day office operations, supports various departments with reporting, compliance, and document handling, and acts as a liaison between administrative and financial functions. The ideal candidate will be detail-oriented, proactive, and comfortable working in a fast-paced environment.
Compensation and Benefits
Starting pay for this position will be $22-$25 + (entirely dependent on experience and job history). This position is full-time.

Essential Duties and Responsibilities
- Order and maintain office supplies; sort and distribute mail.
- Perform bank runs, errands, and receptionist duties as needed.
- Organize important documents and digital files.
- Support HR with applicant screening and interview coordination.
- Assist with meetings, month-end reporting, and accounts payable tasks.
- Help with property tax and real estate tax for multiple entities
- Maintain stock of laser checks
- Verify wires, reconcile various accounts (as needed), and assist with finance month end close as needed.
- Process reimbursements across all companies
- File annual reports, permits, DOT filings, and renew licenses.
- Reconcile health insurance and insurance reports.
- Arrange executive travel and accommodations as needed.
- Maintain professional records and assist with basic bookkeeping.
- Provide backup support for senior leaders and assist on special projects.
- Coordinate DocuSign routing, vendor services, and office maintenance.
Qualifications Required Skills & Abilities
- Organized, self-directed, and proactive in anticipating office needs
- Strong interpersonal and communication skills
- Ability to manage multiple projects with varying deadlines
- Tech-savvy with experience using Microsoft Office Suite and Google Workspace
- High attention to detail with excellent recordkeeping habits
- Familiarity with accounting support tasks and business office procedures
- Able to maintain confidentiality and handle sensitive data professionally
Education and Experience
- High school diploma required; Associate's degree in Business or related field preferred
- 3+ years of experience in administrative support, office coordination, or finance support roles
- Familiarity with compliance-related tasks or regulatory filings is a plus
Physical Requirements
- Prolonged periods of sitting and working at a desk/computer
- Must be able to lift up to 15 pounds
- Regular regional travel for errands and bank runs; valid driver's license and reliable transportation required
- Applicants must reside within 20 miles of Eau Claire, WI (e.g., Altoona, Chippewa Falls) due to in-person support needs and local travel requirements.

Pay: $22.00 - $25.00 per hour
Expected hours: 30 - 45 per week
