Job Description:
Provides high-level administrative and operational support to the Board of Education and executive leadership team. This position plays a key role in facilitating effective communication, ensuring efficient coordination of meetings, documentation, and correspondence, and maintaining confidentiality in all matters.
In this capacity, the assistant is responsible for preparing board meeting materials, managing calendars and schedules, coordinating travel and logistics, and supporting interdepartmental initiatives. The role requires frequent interaction with internal stakeholders, elected officials, and external partners, demanding a high degree of professionalism, discretion, and organizational skill.

Position Specific Information (if Applicable):
Responsibilities:
Serve as the District's Designated Elections Official; supervise all aspects of Board-related elections in coordination with Douglas and Elbert County Clerks and Recorders, ensuring compliance with all applicable statutes and deadlines.
Support the Board and Superintendent in maintaining transparency, public access, and documentation of governance processes.
Prepare and manage Board of Education budgets and expense reports; support expense tracking for Board and executive functions.
Collect, compile, and disseminate district information for internal and public audiences, including materials for closed and open meetings.
Perform other related duties as assigned or requested.
Assist with the development, revision, and dissemination of Board of Education policies, ensuring compliance with legal requirements and adherence to parliamentary procedures.
Serve as Assistant Secretary to the Board of Education for all regular and special meetings; prepare meeting agendas, take legally compliant and official minutes, and post minutes to the district website.
Synthesize submittals from the Superintendent's Cabinet to prepare Board agendas; manage the perpetual monitoring calendar and ensure timely follow-up on Board actions.
Provide direct administrative support to School Board Directors, including calendar management, document preparation from draft or verbal input, travel arrangements, and meeting logistics.
Coordinate and support assigned Board Committees (e.g., District Accountability, Fiscal Oversight, Long Range Planning), including agenda preparation and logistics.
Support the Board of Education's Community Connection Plan by planning and handling logistics for community engagement events.
Respond to internal and external inquiries on Board policies and procedures, including high-priority constituent concerns; ensure appropriate referral and follow-up with Board Directors, the Superintendent, or district staff.
Receive and distribute all individual and Board correspondence; draft responses and communications on behalf of Board Directors for review and signature.
Maintain, secure, and organize confidential, privileged, and sensitive records in accordance with Board policy and legal requirements; serve as the official Custodian of Records.
Manage the Board Room and serve as a technical resource for AV equipment, livestreams, and related software during meetings and events.

- All salary amounts listed above are based on a full-time (1.0) FTE. If applicable, part-time salaries will be prorated according to the assigned FTE.
