Business Assistant / Business Support Assistant

Location: Gilbert, AZ (Hybrid 2 days in office)

Reporting to: Senior Leadership Team

We're looking for a highly organised, detail-oriented Business Assistant to provide high-quality support to senior stakeholders. This role is ideal for someone who thrives in a fast-paced, corporate environment, enjoys being the go-to person, and takes pride in keeping things running smoothly behind the scenes.

You'll be supporting senior leaders managing complex diaries, coordinating across teams, and handling day-to-day administrative and operational tasks that keep the business moving.

Key Responsibilities

  • Providing proactive business and administrative support to senior stakeholders

  • Managing complex and ever-changing calendars, including coordination with other assistants

  • Scheduling meetings, preparing agendas, and ensuring follow-ups are tracked

  • Handling expenses, invoices, and expense reporting accurately and on time

  • Creating and formatting presentations and documents (PowerPoint, Word, Excel)

  • Acting as a key point of contact for internal and external stakeholders

  • Collecting, compiling, and maintaining monthly reports and information

  • Supporting ad-hoc projects and business initiatives as required

  • Ensuring confidentiality and professionalism at all times

Essential Skills & Experience

  • Proven experience as a Business Assistant, Executive Assistant, or Team Assistant

  • Strong proficiency in Outlook, PowerPoint, Teams, and expense management tools

  • Excellent attention to detail and accuracy

  • Confident working independently while being a strong team player

  • Comfortable supporting senior leaders in a corporate environment

  • Strong organisational and time-management skills

  • Clear, professional communication skills (written and verbal)

Nice to Have (Non-Essential)

  • Experience supporting multiple senior stakeholders simultaneously

  • Exposure to reporting, data collation, or basic analysis

  • Experience working in a fast-growing or matrix organisation

  • Confidence improving processes or suggesting more efficient ways of working
