Job Description

Position Summary

The Legal Assistant will provide support in a variety of administrative matters, as well as preparation for hearings in administrative, State, and Federal courts, and compliance with the Oklahoma Open Records Act.  The Legal Assistant's primary focus will be on compiling, preparing, and managing case files. This position will work closely with the Legal and Business Licensing and Compliance divisions of OMMA to ensure case files are processed in a timely manner.

Position Responsibilities/Essential Functions

The specific functions of this position vary, but may include the following:

  • Composes and gathers various legal documents, forms, business applications, emails.

  • Helps OMMA legal coordinate with other divisions within OMMA and gather agency data, investigation records and documents in preparation for various administrative actions and court filings.

  • Develops and maintain system for the intake of legal mail and developing legal case files.

  • Prepares routine documents and other case files under direct supervision, review, and approval of OMMA attorney.

  • Works in a high-performance environment, presented with multiple tasks and competing timeframes to produce results under relatively, high-pressure and high-sensitivity situations.

  • Professional and friendly demeanor, great attention to detail, organized, and a strong ability to multitask .

  • Performs related work as assigned.

  • Experience with the file management/creation.

  • Gathering, analyzing, and producing documents for case files.

  • Coordinating with Legal and Business Licensing and Compliance on status of case files and any needs.

  • Administrative support for OMMA legal, including organizing case files, filing various court documents, and intaking/sending of legal mail.

  • Ability to effectively manage tasks and work within deadlines.

  • Other duties as assigned.

Education and Experience

At least two years of professional experience in case management, legal office, management of filing system for public, private, or non-profit organizations, and state and federal policies and regulations. Preference may be given to those with legal office case work experience.

Knowledge, Skills, and Abilities

Knowledge of the administrative functions of a legal office; of trial and hearing procedures, especially administrative hearing processes, and the preparation needed for such; of legal research methods; and of Oklahoma Open Records requirements.  Skill in seeking out, organizing, compiling, and analyzing documents and data; in performing legal research; in communicating effectively both orally and in writing; and in juggling multiple high priority deadlines simultaneously and assisting OMMA attorneys in doing the same.

Physical Demands and Work Environment

Work is typically performed in an office setting with a climate-controlled settings and exposure to moderate noise level. While performing the duties of the job, employee is required to talk, stand, walk, and reach with hands and arms.  This position requires long period of sitting and daily use of computer and phone.
