Job Description

Reporting to the Director of Project Development and Real Estate, the Project Development and Real Estate Coordinator provides high-level administrative, analytical, and project support for Valley Health System (VHS) project development and real estate initiatives. The Coordinator manages day-to-day operations of leased and owned facilities, supports strategic planning, site development, leasing, budgeting, and compliance activities, and serves as a liaison between internal departments, external partners, and community stakeholders. This position also supports executive leadership in administrative functions and coordinates medical residents housing and physician office setups.

Responsibilities and Duties

Real Estate Operations & Coordination

  • Oversees day-to-day operations of VHS leased and owned facilities (medical office buildings, support buildings), including onsite annual inspections of each facility.
  • Coordinates budgeting, leasing, collections, and upfits.
  • Maintains and updates legal real estate records and property compliance documentation.
  • Supports negotiations and setup of new physician offices from a building/leasing perspective.
  • Monitors lease agreements, renewals, and regulatory approvals.

Project Development & Site Planning

  • Assists in preparing Requests for Proposals (RFP), financial proformas, and market analysis reports.
  • Maintains project tracking systems, dashboards, and databases.
  • Supports land and building transactions and development initiatives.

Stakeholder Engagement & Communication

  • Coordinates communications with community leaders, local officials, and internal teams.
  • Facilitates stakeholder meetings, site visits, and engagements.
  • Supports consensus-building and change facilitation across departments.

Administrative & Executive Support

  • Provides high-level administrative support to the Vice President of Facilities Management, Director of Project Development and Real Estate, and the facilities department team.
  • Assists in coordination of meeting calendars, schedule meetings, confirm appointments.
  • Prepares presentations, reports, and documentation for internal and external use.
  • Maintains organized and accessible communications.

Medical Resident Housing & Space Management

  • Oversees VHS medical resident housing assignments and assist with corporate housing requests.
  • Maintains space utilization records for each VHS entity.

Education

Bachelor's degree in Business, Real Estate, Urban Planning, or related field is required.

Experience

One year of experience in a related field is required.

4 years of experience in healthcare office management, real estate operations, or project coordination or related experience is preferred.

Certification & Licensure

Valid Driver's License is required.

VA Real Estate License is preferred.

Qualifications

Strong organizational and multitasking skills in a fast-paced environment.

Exceptional interpersonal and communication skills.

Ability to work independently and exercise discretion and judgment.

Proficiency in Microsoft Office Suite and project management tools.

Knowledge of financial principles related to property management.

Detail-oriented with strong situational analysis and problem-solving abilities.
