Job Purpose

Supports the Onboarding Design Managers and Project Manager teams by assisting in a smooth transition of hotels from prospective property to full member status. Performs administrative duties in support of new applicants and conditional members.  By supporting details behind the scenes, the Design Support Associate helps the Onboarding Design Project Managers focus on guiding properties to successful membership.

Key Responsibilities

  • Assist with the preparation of Board materials, presentations, and documentation to ensure timely and accurate submissions.
  • Process and track updates to Property Improvement Plans (PIPs), ensuring accuracy of records.
  • Maintain organized files, reports, and project documentation to support the Onboarding Design Project Manager team.
  • Manage workflow of PIPs and related tasks through Smartsheet in conjunction with team.
  • Monitor timelines and follow up on outstanding tasks to keep onboarding projects on track.
  • Contribute to process improvements that enhance efficiency and team collaboration.
  • Identify issues and escalate to team and management where appropriate.
  • Provide general administrative support including correspondence, data entry, and reporting.

Preferred Experience and Education

  • Minimum 12 to 18 months related experience in a corporate, administrative environment.
  • Within an Interior Design or Architectural firm preferred
  • High school diploma or equivalent certification.

Required Knowledge and Skills

  • Previous administrative or project support experience, preferably in design, hospitality, or project management settings.
  • Basic proficiency in Microsoft Office Suite and related business software.
  • Smartsheet experience preferred.
  • Be able to shift focus quickly and accurately.
  • Detail-oriented and strong organizational skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Operates under general supervision and follows established procedures.
  • Familiar with general office procedures and office equipment,, databases, company organization, policies, personnel, and terminology unique to functional area assigned.
  • Intermediate verbal and interpersonal skills in dealing with others internally and externally. Communicate accurate responses in assigned area.
  • Able to respond effectively to verbal and written requests concerning area of work.
  • Resolves routine problems.

Work Location and Schedule

  • This is a hybrid position, requiring an onsite presence approximately 2 days per week at our Headquarters location.  The office address is 6201 N. 24th Parkway | Phoenix | AZ | 85016  
  • Typical working hours are Monday through Friday, 8am to 5pm (Arizona Time); alternate work hours may be considered.
