JOB SUMMARY
Performs a wide variety of tasks such as office clerical; reporting; room inventory; creating, organizing and correcting computer-based resident records and files; processing all admissions, transfers and discharges; maintaining key department databases. Supportive of the Village's mission, values, and service/hospitality (PRIDE) expectations. Completes training as required by policy.
ESSENTIAL JOB FUNCTIONS
- Monitors and oversees audits and reporting completed by the VAL business office.
- Processes Long Term Care Applications in compliance with the VAL policy for applicants seeking AL placement.
- Coordinates LTC Assessments.
- Files monthly LTC Claims for residents with LTC policies, and provides documentation requested by LTC companies.
- Provides customer service to residents and families.
- Accurately processes admissions, discharges and transfers, updating MyUnity system and other databases appropriately and notifying appropriate vendors.
- Prepares for new resident's arrival with admissions check list and "red carpet experience"
- Works with Clinical Managers for resident care level changes and updates MyUnity and family contact.
- Primary contact and maintaining relationship with Everfast. Coordinating all resident phone, cable and internet installation/transfers along with JKV IT dept.
- Collects and/or maintains residents insurance cards, health directives, DNR, durable power of attorney forms. Copies and files/posts updated MyUnity accordingly.
- Understands JKV contracts and how the contract residents' discounts and/or privileges work within the Village Assisted Living.
- Maintains residents' information in SafelyYou, MyUnity, Ucommand and various other databases.
- Answers inquiries from families, hospitals, insurance companies and other parties involved.
- Maintains VAL and MC room inventory and key supply.
- Communicate room renovations with various campus departments.
- Manages our home safety pendant supply and coordinates set up for current and new residents.
- Assists with communication with prospects.
- Provides back up and fill in support to the Administrative & Health Information Assistant and Admissions Coordinator
- Handles stress well and gets along with others within the workplace and with customers outside the department.
- Has a sense of urgency and an acute attention to detail.
- Maintains acceptable standards of workplace conduct.
- Adheres to all safety regulations and requirements.
The responsibilities described above represent the primary responsibilities of the job. Other responsibilities may be assigned by the supervisor as warranted by business needs. The incumbent is expected to perform all assigned responsibilities.
ESSENTIAL QUALIFICATIONS
Education:
- This job requires a high school diploma or general education degree (GED). Associate's degree (A.A.) or equivalent from two-year college, vocational training or job-related course work preferred.
Licenses/Certifications:
- Current Valid Driver's License.
Knowledge and Skills (required unless otherwise noted):
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals. May need to calculate discounts, interest, commissions, percentages, and area.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Intermediate keyboarding skills (typing, data entry). Intermediate skill level using MS Windows, MS Office, MS Outlook, Internet. Ability to learn new software.
- Talking to others to convey information effectively. Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.
- Ability to write reports, business correspondence, and procedure manuals. Communicating effectively in writing as appropriate for the needs of the audience.
- Ability to define problems, collect data, establish facts and draw valid conclusions.
- The ability to successfully go back and forth between several projects or tasks.
- The ability to choose the right mathematical methods or formulas to solve a problem.
- Providing information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.

Experience:
- Requires five years of experience providing administrative support.
SPECIAL WORKING CONDITIONS
- All associates may be called upon to assist other departments in a declared emergency situation.
- The associate is subject to inside environmental conditions which provide protection from weather conditions but not necessarily from temperature changes.
- The associate is exposed to infectious diseases.
- Office environment. First line of contact; must be able to handle frequent interruptions.
- May require traveling within the JKV community.

- Occasional push/pull horizontal of 40 lbs. at 40 inches height for 100 feet.
- Frequent hearing and speaking.
- Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
