HVAC Service Coordinator / Dispatcher

Marshall's Specialty Services- Springfield, OR

$19 - $23 an hour- Full-time

Marshall's Specialty Services is a well-established HVAC company proudly serving Lane County, Oregon since 1948. We are known for our commitment to quality, integrity, and taking care of both our customers and employees. We are currently seeking a full-time HVAC Service Coordinator / Dispatcher to join our growing Service Team in Springfield, OR.

Job Summary

This position is the central hub of communication between our customers and HVAC Service Technicians. The ideal candidate will be a strong multitasker who can handle scheduling, dispatching, and customer communication in a fast-paced office environment with professionalism, attention to detail and a smile.

Pay: $19 - $23 per hour (DOE)

Schedule: Monday- Friday, 8:00 AM - 5:00 PM

Occasional overtime during peak seasons

Location: 4110 Olympic St., Springfield, OR 97478

Job Type: Full-time, Non-exempt

Responsibilities

  • Answer incoming calls and assist customers with scheduling HVAC service

  • Provide pricing and service information

  • Create and manage jobs and service agreements in field software (training provided)

  • Schedule and dispatch HVAC Service Technicians based on skillset, location, and availability

  • Update and maintain accurate customer records

  • Monitor open jobs to ensure timely completion

  • Debrief technicians and schedule follow-up visits

  • Make reminder and confirmation calls

  • Collaborate with team members to ensure smooth service operations

  • Other duties as assigned by the Service Manager / HVAC Department Head

Qualifications

  • Strong phone etiquette and customer service skills

  • Excellent organizational skills and attention to detail

  • Ability to prioritize and work efficiently under pressure

  • Clear written and verbal communication

  • Computer proficiency required; Google Workspace (Gmail, Sheets, Drive) experience a plus

  • Knowledge of Lane County geography is helpful

  • Experience in dispatching, scheduling, or CSR roles is a plus

  • Experience with service field management software is a plus
