Job Description

HVAC Service Project Manager – Greensboro, NC

 

Position Overview

The HVAC Service Project Manager is responsible for procuring, estimating, managing, and overseeing mechanical service projects from initiation to closeout. This role focuses on cultivating strong relationships with owner-direct clients and ensuring the timely, high-quality execution of a variety of HVAC service and retrofit projects.

Key Responsibilities

  • Account Management:

Build and maintain long-term relationships with key service accounts and owner-direct clients. Ensure client satisfaction through proactive communication and timely response to service needs.

  • Estimating:

Perform on-site assessments, develop detailed cost estimates, and deliver comprehensive project proposals.

  • Project Startup:

Lead project setup, buy-out, and execution planning. Coordinate with field teams to ensure readiness.

  • Purchasing:

Issue timely purchase orders for materials, equipment, and subcontracted services. Avoid project delays by ensuring procurement aligns with timelines.

  • Scheduling:

Create and maintain project schedules. Coordinate with field superintendents, clients, and subcontractors to ensure adherence to deadlines.

  • Managing Manpower:

Collaborate with dispatchers and superintendents to allocate the appropriate workforce for each project.

  • Accounting:

Ensure all project-related financials including POs, subcontract agreements, and invoices are handled promptly and accurately.

  • Quality Management:

Monitor labor and material quality. Conduct jobsite visits and maintain open client communication.

  • Project Closeout:

Oversee final inspections and ensure delivery of O&M manuals and project documentation to clients.

Required Knowledge and Skills

  • In-depth understanding of HVAC systems, installation, and service practices.
  • Proficiency with Microsoft Office Suite (Excel, Word) and PDF editing software.
  • 5+ years of experience in HVAC project estimating and service management preferred.
  • Strong construction industry knowledge is beneficial.

Human Relations Skills

Exceptional verbal and written communication skills are required to interface professionally with clients, vendors, subcontractors, and internal teams. Strong negotiation, organizational, and customer service skills are essential for resolving issues and driving project success.

Key Stakeholders

  • Customers – Regular project updates and relationship management.
  • General Contractors/Subcontractors – Coordination for field work and timelines.
  • Vendors – Procurement of equipment and supplies.

Physical Requirements

  • Ability to sit and stand for up to 8 hours per day.
  • Ability to stoop, kneel, crouch, crawl, and climb ladders during jobsite visits.
