Position Summary

The Emergency Preparedness & PPE Supply Coordinator is responsible for coordinating the organization's emergency preparedness program and overseeing the operational readiness of PPE resources. This role ensures compliance with regulatory requirements, supports organizational readiness through planning and training coordination, and manages the ordering, storage, and distribution of critical PPE supplies. The Coordinator partners with senior leadership, internal stakeholders, and external agencies to implement preparedness policies, conduct risk assessments, and ensure accountability for resources across the organization.

Position Specific Responsibilities

  • • Emergency Preparedness Coordination
  • Coordinate the development, implementation, and ongoing maintenance of emergency response and continuity of operations plans (COOP) in compliance with regulatory requirements
  • Plan and facilitate training, drills, and exercises across locations in partnership with internal teams and external agencies
  • Participate as a member of the Emergency Operations Center (EOC) team during crises with authority to make operational readiness decisions
  • Conduct risk assessments and hazard vulnerability analyses, recommending mitigation strategies to leadership
  • Monitor regulatory changes and emerging threats, advising leadership on required policy and procedural updates
  • Ensure completion and documentation of annual emergency preparedness training and attestations in Workday

PPE Supply and Readiness

  • Manage the ordering, storage, rotation, and distribution of PPE inventory to ensure organizational readiness

  • Oversee inventory tracking, monthly compliance reporting, and audits to ensure accountability

  • Coordinate PPE fit testing scheduling and compliance with the Respiratory Protection Program (29 CFR 1910.134)

  • Develop training resources and provide guidance to team members and joint venture partners on PPE policies and processes

  • Serve as primary liaison with vendors regarding PPE supplies, contracts, and compliance issues

  • Recommend policy or procedural changes to strengthen PPE readiness and compliance

Education and/or Experience

  • Required- Bachelor's degree in healthcare, emergency management, or a related field (or equivalent experience).
  • Required- 2+ years of experience in warehouse operations, logistics, emergency preparedness or supply chain management (preferably in healthcare).

Skills

  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.
  • Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from leaders, team members, investors, and external parties. Strong written and verbal communications.
  • Other Skills and Abilities: Ability to understand, read, write, and speak English. Articulates and embraces integrated healthcare at home philosophy.
  • Other Skills and Abilities: Strong coordination, communication, and organizational skills.

Ability to make decisions under pressure and in high-stakes environments.

Knowledge of public health emergency protocols and PPE standards.

Proficiency in inventory management systems and Microsoft Office Suite.

Certifications, Licenses, and Registrations

  • FEMA ICS/NIMS certifications (ICS-100, 200, 700, 800;).
  • OSHA knowledge of OSHA/PPE compliance.
  • CHAP and State Emergency Preparedness regulations trained.

Physical Demands and Work Environment: The demands of this role necessitate a team member to effectively perform essential functions. Regular standing, walking, and manual dexterity are fundamental, along with the ability to lift and move objects up to 25 pounds. Visual acuity requirements include close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus.
