Compensation: $55.00 / Hr.Job Title: Executive Administrator II (Analyst-Tech Profile)Location: Carlsbad, NMSchedule: 5/2 | 8-hour days | 100% onsiteExperience Required: 5+ yearsPosition OverviewThe Executive Administrator II serves as a senior-level administrative and analytics support resource for leadership teams in Carlsbad. This role functions as a hybrid of Executive Assistant and Analyst Technician, requiring advanced technical skills, strong business acumen, and the ability to manage high-level administrative workflows with minimal direction.The ideal candidate is highly proficient in Excel, PowerPoint, data extraction, Power BI, and electronic verification systems, and capable of handling confidential information while representing leadership in a professional and polished manner. The position includes supporting, mentoring, and coordinating with other office staff.Key Responsibilities
- Provide executive-level administrative support to senior leadership
- Manage and screen phone calls, emails, meeting requests, and executive schedules
- Coordinate complex calendars, travel, and meeting logistics
- Prepare high-quality presentations, correspondence, reports, and dashboards
- Pull, compile, and interpret data from multiple databases and digital systems
- Serve as a “super user” for verification systems, data tools, and office technologies
- Build Power BI views/dashboards (basic to intermediate level preferred)
- Handle sensitive and confidential information with discretion
- Lead small projects, process improvements, or administrative initiatives
- Train, mentor, and support office staff or junior administrative personnel
- Act as a representative of leadership across departments in a highly professional manner
- 5+ years of administrative support experience at senior or executive level
- Expert proficiency in Excel and PowerPoint (pivot tables, v-lookups, formatting, charts, data merging)
- Strong experience pulling/analyzing data from multiple systems
- Power BI experience (building or modifying dashboards)
- Strong written and verbal communication skills
- Ability to multitask, prioritize, and manage fast-changing workloads
- Strong organizational skills and attention to detail
- Ability to work 100% onsite and support a fast-paced leadership environment
- Experience supporting leadership within oil & gas or technical operations
- Experience training others on administrative systems or office workflows
- Exposure to ERP, verification systems, or data visualization tools
