Job Description

We are searching for candidates that meet the required qualifications and experience and are able to perform the essential duties and responsibilities.

Job Summary:

Provide high-level administrative support to the associate vice president (AVP) of continuing education (CE). This position plays a key part in the success of CE's adult education programs by assisting with a wide range of administrative, creative, and operational tasks and requires exceptional organizational skills and a passion for supporting adult learners and community engagement.

Required Qualifications:

Essential Duties and Responsibilities

  • Serve as the first point of contact for the division, providing outstanding customer service in a fast-paced environment.
  • Execute divisional and departmental processes, including accreditation support, student admissions coordination, and budget tracking. Manage accounting records, including accounts payable, accounts receivable, and budget reconciliation.
  • Process, maintain, and verify a variety of departmental data, records, files, and databases. Prepare statistical and other reports using Workday and Modern Campus systems and data management techniques.
  • Assist the department members to build and schedule CE classes, coordinating with the staff to proof and revise schedules. Collect and submit room requests and changes to District Wide Scheduling,
  • and assist in notifying students of cancellations. Generate reports and assist with the verification of course schedules.
  • Execute effective electronic and paper management strategies to ensure accurate and organized programmatic and departmental files.
  • Facilitate the purchasing process, including verifying vendor status, initiating purchases, tracking requisitions, and coordinating deliveries.
  • Work collaboratively with colleagues across the college district. Use technology to communicate effectively and quickly in a fluid environment, adopting best practices in verbal and written formats. Maintain a professional and confidential environment in compliance with FERPA.
  • Design and create eye-catching promotional materials, such as flyers and social media graphics, for specific courses and programs.
  • Update and maintain the Continuing Education webpages and social media sites to reflect current courses, events, and programming.
  • Assist with and edit forms for curriculum development and submission.

  • Perform other duties as assigned.

  • Knowledge of college district operations application tools such as Workday and Modern Campusi
  • Knowledge of federal, state, and college rules and regulations regarding education, training, and procurement
  • Knowledge of budget development, district strategic goals/initiatives, program management, and Business Office fiscal procedures
  • Business writing skills
  • Verbal and written communication skills
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with content management systems and social media platforms.
  • Listening and interpersonal skills
  • Customer service skills
  • Ability to identify knowledge gaps, analyze multiple data, synthesize customer needs and identify training expertise,
  • Ability to manage multiple priorities in a fast-paced environment
  • Ability to create marketing and promotional content and visuals

Physical Demands, Working Conditions and Physical Effort

Sedentary Work - Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met. Positions in this class typically require talking, hearing, seeing, grasping, standing, walking and repetitive motions. Relatively free from unpleasant environmental conditions or hazards. Office environment. Little physical effort required.

Requirements

Bachelor's degree from an accredited institution and two (2) years experience in administrative support roles.

Preferred

Two (2) years experience in an academic or continuing education environment.

Compensation is determined based on experience.
