ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Oversees daily management and operation of the Office of the President of Salem Five Insurance. Assists in planning the day-to-day activities as well as special events.
- Manages and coordinates the moderate to complex scheduling of the President’s appointments, updating as necessary; prepares and organizes essential materials/documents in relation to ongoing responsibilities. As needed, assists President in calendar management, handling travel arrangements and expense management using Concur.
- Provides admin support including correspondence, transcription, typing, spreadsheets, filing and record keeping.
- Reviews, edits, interprets and has the ability to track data in Excel spreadsheets.
- Serve as a liaison between the President and the public. This includes receiving and screening phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages and directing calls appropriately for resolution.
- Opens, routes, distributes and composes replies to President’s correspondence when requested.
- Coordinates and arranges leadership team meetings, prepares agendas from topics and information provided, sends meeting invites, provides reminders to participants and ensures conference room availability.
- Takes minutes at leadership and other ad-hoc meetings in a proactive and timely manner.
- Composes and types routine correspondence, including preparation of memos with minimal guidance.
- Demonstrates compliance with banking business laws and regulations as defined in company policies and procedures pertinent to the position
- Regular attendance is essential to this position
EDUCATION and/or EXPERIENCE:
- High School graduate or equivalent with some college preferred.
- 3-5 years of admin support experience preferred Prior experience working in a professional/corporate setting is preferred.
