PHT Externship Coordinator

PHARMACY TECHNICIAN EXTERNSHIP COORDINATOR

Job Summary

The Pharmacy Technician Externship Coordinator (PTEC) works under the direction of the Pharmacy Technician Program Chair to achieve externship preparation and placement goals and objectives for Ross online students and graduates. The PTEC will work in conjunction with the Pharmacy Technician Program Chair, Pharmacy Technician instructors, and Career Services team to prepare, secure, document and track qualified externship placements for online students as well as attendance and academic progression for students within virtual externship (VE) courses.

The PTEC will build relationships with students through regular voice-to-voice, text, email, and webinar communication to support externship placement and documentation needs as well as any attendance and academic concerns. The PTEC will promptly respond to requests, assist with scheduling or program questions, identify at-risk students by their attendance and academic achievements, and implement strategies to promote student and graduate success. Additionally, he/she will establish relationships with Pharmacy Technician Student Services Advisors to support student professional development, job search preparedness, and placement.

The PTEC will document activities in Salesforce, the LMS, and/or CampusVue and ensure that documentation/tracking is in compliance with accreditation requirements.

Job Duties and Responsibilities

Interact effectively with Ross College staff (e.g., Online Faculty, Program Chair, Director of Academics, Career Services personnel)

Externship Placement

  • Collaborate with online academics and career services teams to complete SVS forms and externship documentation
  • Work collaboratively with Career Services to follow up on externship site leads, and coordinate interviews and placement for Pharmacy Technician externs
  • Verify that externship sites and supervising staff meet minimum requirements according to ASHP and ABHES requirements Ensure proper documentation, tracking, compliance and reporting of all externship placements and attendance in Salesforce, the LMS, and/or CampusVue in accordance with ABHES and Ross compliance standards
  • Develop relationships with students early in their program and throughout to build an awareness of program externship requirements
  • Work with students on professional development (e.g., attitude, communication, resume development, professionalism, Pharmacy Technician competency development), career preparation, mock interviews and externship placement
  • Maintain regular contact with unplaced externs via weekly calls, virtual touch points, and social media as appropriate
  • Assist with technician-in-training licensure needs and other state regulatory requirements as needed
  • Assist with the completion of Employer Surveys/Summary/Action Plans as needed
  • Design and implement professional development and online training seminars, as needed
  • Develop student success and professional development content for the Student Resource Center
  • Monitor student progress in preparation for externship placement (in CampusVue and the LMS)
  • Make employer cold calls and service/follow-up calls as needed (via telephone and email)
  • Utilize Optimal Resume & Review center to provide resume review to students and assistance with cover letters and thank you letters, as needed
  • Implement new Online Career Services initiatives as applicable Academics
  • Research state licensure, technician-in-training requirements, and other requirements (e.g., background check, drug test, state registry, payment and reimbursement) and verify that students are prepared for externship site placement
  • Assist students and track student attendance and academic progress in the virtual externship, and communicate student needs via shared spreadsheets, emails, phone calls, and other forms of communication
  • Verification of student proficiency completion in Science Interactive laboratory modules
  • Communicates, supports, and enforces school academic policies and procedures
  • Accurately records attendance, time on task, and competency performance as needed
  • Complete all new faculty training using the learning management system
  • Completes a minimum of two (2) continuing education and/or professional growth activities each year
  • Attends a minimum of two effective teaching in-service activities per fiscal year (July 1 to June 30)
  • Attends formal and informal faculty/staff meetings
  • Provides timely, detailed and individual feedback on all assignments

Recordkeeping

  • Complete reports as required
  • Effectively access and log student interaction and other data as required

Perform assigned duties as required

Expected Outcomes

  • Achieve minimum 70% externship placement rate for the Pharmacy Technician program
  • 100% compliance with accreditation requirements
  • Achieve Employer/Graduate survey results of 90% or greater

PHT Externship Coordinator

Requirements

  • High school diploma or equivalent and post-secondary degree, diploma or certificate in related field from an accredited institution
  • Three (3) or more years of occupational (i.e., practical) experience in Pharmacy Technology
  • Current State registration and/or license, as applicable
  • Certification in the field (CPhT) through PTCB or ICPT, or as a Licensed Pharmacist

OR

  • High school diploma or equivalent and evidence of on the job training (Pharmacy Technician in training) from an approved training site
  • 5 or more years recent work experience in the field which is being taught
  • Current State registration and/or license, as applicable
  • Certification in the field (CPhT) through PTCB or ICPT

And all PTEC must have:

  • Knowledge of materials (subjects) that will be taught to students and ability to use and communicate Ross curriculum
  • Work experience in environments related to Ross student programs
  • Ability to communicate field related knowledge to others
  • Maintains current State registration and/or license, as applicable
  • Maintain current credential (CPhT) through PTCB or ICPT
  • Demonstrates professionalism in manner, dress and conduct as a representative of Ross and a student mentor
  • Ability to work a flexible schedule, which includes some evening or weekend hours
  • Ability to work effectively alone and manage workflow
  • Ability to use current technology to maintain student records, e.g., Microsoft Office, CampusVue
  • Demonstrates professionalism in manner and conduct as a representative of Ross and student mentor
  • Excellent organizational and time management skills
  • Sufficient visual and auditory ability to operate computer equipment, use telephone, read materials.

  • Previous experience in post-secondary education and/or online education programs
  • Experience with Brightspace or other LMS
  • Career Services experience a plus
  • Experience making sales/service calls and developing client relationships

This position is based onsite at a Ross Campus.
