Job Description
The Professional Practice Office Coordinator provides secretarial and administrative support to the Professional Practice Director, Nurse Residency Program Manager, Nursing Excellence Program Manager, and additional members of the professional practice department. Support includes updating schedules/calendars, reviewing and responding to meeting requests. Communicating schedules and updates to the supported teams as appropriated. Responsibilities include (but not limited to): Prepares, edits, proofreads, designs, and formats documents. Manages and organizes communications and ensures hard copy and/or computer files are maintained as appropriate. Maintains spreadsheets and creates reports for items such as education, competency and other confidential departmental items. Creates documents and assists in the tracking and monitoring of departmental budget. Supports student services by updating documents, spreadsheets, and assists with reporting and formatting. The office coordinator supports professional practice documents including continuous monitoring of guidelines and policies, organizational chart and signage. Intranet support including updating documents and formatting as needed. Attends and supports professional practice council meetings including scheduling timely meeting requests, e-mail correspondence, meeting minutes, and event planning. Serves as liaison with other departments and VH entities as needed to facilitate services required for the Professional Practice department.
Education
High school graduate or equivalent required
Experience
Minimum two (2) years secretarial experience preferred
Qualifications
Knowledge of medical terminology preferred
Must possess good public relations, interpersonal and organizational skills and be continuously attentive to details. Must be able to handle confidential and other sensitive information appropriately
Ability to compose or prepare finished documents from outlines or brief instructions highly desirable
Computer knowledge and experience including "Windows" and word processing required, "MS Word" and "Excel" strongly preferred. Knowledge of AS400 functions preferred
Strong written and verbal communication skills required
Ability to establish and maintain effective relationship with staff, clients and others required
