Job Description
The Facilities Project and Design Manager is critical in supporting design initiatives and ensuring brand compliance across approximately half of the 177 Toyota dealerships in the Southeastern region. At any given time, there are roughly 40-45 active facility projects underway across the region, requiring close coordination, strategic planning, and consistent adherence to Toyota's Image USA II standards. This position is responsible for the development of efficient, brand-aligned environments, including showrooms, service drives, parts departments, and customer lounges, that enhance both operational flow and the overall customer and associate experience. The ideal candidate brings a strong foundation in architectural design or facility planning, coupled with strong project management and communication skills, is a detail-oriented self-starter, and proficient in design software to visualize layouts and maintain accurate site and floor plans.
Responsibilities:
- Lead facility design and construction projects, including renovations, upgrades, and new builds, ensuring alignment with Toyota's Image USA II standards.
- Review and consult on architectural plans throughout all project phases, offering design and functional improvements.
- Create detailed floor plans and 3D models using AutoCAD and SketchUp (or similar software) to support strategic planning and visual communication.
- Conduct dealership site visits to assess existing conditions, provide on-the-spot design solutions, and ensure facility compliance.
- Manage and update content on Southeast Toyota's facility website, ensuring information remains current, accurate, and relevant.
- Travel to dealerships to assist with conducting in-person dealership facility assessments to validate existing conditions and identify design opportunities or constraints. Occasionally develop on-the-spot design solutions to address site-specific challenges during multi-day visits (2-4 days).
- Review and critique design development and construction documents provided by the dealer's architect.
- Maintain and update dealership floor and site plans in AutoCAD, ensuring alignment with Toyota's facility standards. Revise dealership records, including the Toyota Dealership Agreements (TDA), as needed following dealer property acquisitions.
- Process monthly Toyota dealership expense submissions by reviewing invoices and payment applications, validating supporting documentation (e.g., photos), and organizing data using Excel.
- Collaborate with field operations and fixed ops teams to ensure facility designs align with business needs.
- Responsible for managing the exterior signage program for Toyota dealerships across the Southeast region, ensuring nighttime visibility standards and adherence to corporate branding guidelines.
- Stay current on design trends in automotive retail, including EV infrastructure planning, retail technology, lighting, and merchandising innovations.
Qualifications:
- Bachelor's degree in Architecture, Interior Design, Facility Planning, or a related field with 3-5 years of experience in facility design or architectural support, preferably in automotive, retail, or commercial environments.
- Proficiency in AutoCAD and 3D modeling software (e.g., Revit, SketchUp, Rhino). Revit a plus.
- Familiarity with project workflows, construction documents, and design approval processes.
- Strong organizational and follow-up skills with the ability to manage multiple projects simultaneously in a fast-paced environment.
- Collaborative, team-oriented mindset with strong communication and presentation skills, comfortable presenting to executive-level management regularly.
- Solid administrative and customer service skills, ensuring smooth operations and positive interactions with internal and external partners.
- Excellent time management and prioritization skills, as well as the ability to maintain focus and efficiency under pressure.
- Understanding of dealership throughput modeling and service capacity planning a plus.
- Proficiency with Microsoft 365 Suite (PowerPoint, Excel).
- Overnight travel required and willingness to travel 25%-50% as needed to support business operations.
- Willingness to support extended hours during dealer site visits, including evening visits to verify exterior signage functionality and visibility.
