Responsibilities and Expectations:
Integrated Power Services (IPS) is seeking a dedicated Accounting to join our team. The Accounts Payable Coordinator position will primarily be responsible for processing, verifying, and reconciling vendor invoices. Will run payment runs and handle vendor maintenance. The ideal candidate will understand accounting entries associated with invoices, purchase order, receipt, and payment transactions. The candidate would also have good organizational and communication skills.
- Process and record invoices
- Payments to vendors-ACH's, Wire transfers, and vendors platforms
- Process monthly recurring payments: rent, car allowances, phone allowances
- Follow-ups to PO, s received without invoices
- Follow up POs with discrepancies with vendor invoices
- Response to emails and calls from vendors
- In charge of managing Autorepression account (Toll Charges for company vehicles)- Adding, removing, and method of payment setting
- Review, process, reconciliation, and payments of credit cards statements
- Review, process, reconciliation and payments of UPS (Freight Charges)
- Review, process, reconciliation and payments of utilities invoices
- Daily and monthly bank reconciliations
- Process annual bonus payroll
- In charge of payroll employees adding, removing, changes, discount for child support, employee's loans retentions, health plan changes recording, and others
In charge of personnel's physical files
- Certification of employment for non-exempt employees
- Quarterly Returns of Disability and Chauffeur's Insurance
- Back up of processing weekly payrolls when needed (when the person who process payroll is absent)
- Record and post payroll entries
Qualifications and Competencies:
- Bachelor's degree in accounting preferred
- Minimum 3 years of accounting experience preferred
- Proficient with MS Excel/Word/Outlook
- Working knowledge of accounting systems and month-end close processes
