Job Description
POSITION Clerical Aide III Position Type: Temporary Schedule: M-F, 8:00 am - 5:00 pm Assignment Length: Approximately 6-Months, possibly longer. DESCRIPTION The Clerical Aide III provides advanced clerical and administrative support to attorneys and staff. This position requires a high level of professionalism, accuracy, discretion, and the ability to manage multiple priorities in a fast-paced legal environment. The incumbent works under general supervision and exercises independent judgment in the performance of assigned duties. Examples of Duties Prepares initial drafts; revises, formats, finalizes, and proofreads legal documents including contracts, leases, resolutions, ordinances, opinions, letters, and memoranda, at the direction of attorneys and in accordance with departmental policies and procedures. Processes and distributes finalized legal documents. Takes initiative to ensure all work handled by the office is completed timely, accurately, and free of errors. Coordinates with attorneys and other secretarial staff to ensure smooth and seamless completion of all work handled. Receives, sorts, reads, routes, and responds to routine mail and inquiries. Maintains attorney calendars and tracks deadlines. Coordinates and schedules meetings and hearings. Establishes and maintains a variety of complex, privileged, and sensitive files and records. Regularly communicates with staff regarding assignments, documents, and other issues as they arise. Screens and routes telephone calls in a courteous and professional manner. Opens and closes attorney assignments in case management software and enters and maintains information in database. Provides back-up support to attorneys in other divisions as needed. Performs other related duties as required. REQUIREMENTS Ability to type accurately at a rate of 50 words per minute or better. Highly detail-oriented with strong organizational and multitasking skills. Ability to prioritize multiple tasks and ensure timely completion of assignments. Strong oral and written communication skills. Knowledge of office procedures and legal terminology. Ability to work independently with minimal supervision and instruction. Good judgment and decision-making skills in accordance with office policies and procedures. Ability to interact professionally with all levels of personnel. Discretion in handling confidential and sensitive matters. Ability to establish and maintain effective and harmonious working relationships. Excellent attendance, professional appearance, and demeanor. Knowledge of local, state, and federal court rules and filing procedures is desirable but not required. INDH
