Position Title: MANAGER, HEALTH & SAFETY PROGRAMS AND SYSTEMS
Location: HOUSTON, TX
LFSA Class: EXEMPT
Responsible to: SENIOR DIRECTOR, HSQ & TRAINING
Position Summary: The Manager of Health & Safety Programs and Systems is responsible for developing, administering, and continuously improving the company's Health & Safety programs, data analytics, digital platforms, and management system. This position serves as the System Administrator for KPA Flex, the primary Helpdesk contact for all KPA Flex user support, the lead analyst for all HS&E metrics, and the administrator of all customer compliance portals, including ISNetworld and Veriforce. This role partners closely with field operations, leadership, health and safety, training, and external partners to maintain a modern, reliable, and high-performing Health & Safety Management System aligned with regulatory requirements, industry standards, and customer expectations.
Essential Duties and Responsibilities:
- Manage all customer HS&E compliance platforms.
- Maintain company profiles and required documentation.
- Monitor and maintain customer approval status.
- Support MSAs, vendor qualifications, and audits.
- Create and distribute customer specific weekly status reports.
- Ensure complete, accurate, and timely submission of required regulatory reporting.
- Validate incident classifications for compliance.
- Maintain historical records and documentation.
- Monitor, analyze, and report on Key Performance Indicators and all Health and Safety Data.
- Prepare and distribute weekly, monthly, quarterly, and annual Health and Safety performance reports for all levels of the organization as required.
- Ensure accurate and timely reporting of all clients, customers, insurance, workplace, and agency-required HS&E statistics and reports.
- Ensure alignment and accuracy between KPA Flex data, OSHA logs, MSHA reporting, customer portals, and internal dashboards.
- Serve as System Administrator for KPA Flex.
- Manage system configuration, workflows, permissions, and dashboards.
- Administer modules including Resources (documents), Training, Equipment, Employee Profiles, and Forms.
- Ensure data integrity and oversight of system governance.
- Act as primary Helpdesk contact for all KPA Flex users.
- Resolve system issues and support field and office users.
- Create user guides and system training materials.
- Track recurring issues and coordinate with KPA Flex Support Team.
- Provide onboarding training for new users.
- Coordinate the maintenance of Health and Safety programs, ensuring alignment with all requirements.
- Coordinate the maintenance of Training courses, modules, and the Training Matrix.
- Support all related compliance audits and improvement initiatives.
- Maintain OSHA injury logs and incident records.
- Review all incidents for accuracy and completeness.
- Work with the lead investigator until the event is fully resolved
- Track and report closure of all corrective actions.
Requirements:Bottom of Form
- Other 8+ years of Health & Safety experience.
- Experience administering digital HS&E platforms (KPA Flex preferred).
- Strong knowledge of Federal and State requirements and reporting.
- Data analytics and KPI development experience.
- Proven ability in program and policy development.
- Strong communication and collaboration skills.
- High organizational discipline and attention to detail.
- Experience with ISO 45001 (Safety Management Systems)
- Experience with customer compliance platforms.
- Experience creating dashboards (Excel, Power BI, or KPA native).
- Analytical and critical-thinking capability.
- High attention to detail and accuracy.
- Strong training, coaching, and influence skills.
- System-thinking and implementation capability.
- Strong documentation and writing skills.
- Customer service mindset.
