Job Description

Pacific Skin Institute is seeking a motivated and team-oriented Medical Administrative Assistant to join our Sacramento Administrative Office. This role is ideal for someone who is passionate about customer service, enjoys helping people access the care they need, and thrives in a fast-paced, collaborative environment.

Position Highlights:

  • Office Hours: 7:00 AM – 6:00 PM (shifts vary)
  • Shift Options: Monday–Friday, 7:00 AM–4:00 PM | 8:00 AM–5:00 PM | 9:00 AM–6:00 PM
  • Work Setting: Health Administration position based in our Administrative Office (no face-to-face patient contact). All communication is via phone and electronic medical records (Epic).

Key Responsibilities:

  • Research Scheduling:
    • Work closely with the research department to ensure smooth communication.
    • Maintain detailed documentation of research scheduling and patient interactions in the designated systems.
  • General Scheduling & Patient Support:
    • Answer a high volume of incoming calls (average 40–70 per day) in a professional and courteous manner.
    • Schedule new and return patient appointments and procedures in accordance with Pacific Skin Institute guidelines.
    • Manage waitlists/call-back lists to optimize provider schedules.
  • Systems & Coordination:
    • Utilize Epic and STREAK scheduling platforms to accurately manage patient data and scheduling workflows.
    • Communicate heavily with providers and staff through phone and EMR messaging to support both clinical and research operations.
    • Ensure accurate and timely information sharing across multiple clinic locations and departments.

What We’re Looking For:

  • Strong organizational and communication skills, with the ability to balance research-related scheduling alongside general clinical needs.
  • Experience with electronic medical records (Epic preferred) and scheduling software (STREAK experience a plus).
  • Professional, customer-focused approach to patient care coordination.
  • Team-centered attitude and comfort managing high call volumes in a fast-paced environment.
