The Opportunity
Be the heart of our Home Office. As an Office Coordinator, you are the organizational genius and welcoming face that ensures our headquarters runs smoothly and efficiently. Your Role: The Office Maestro
You are the conductor of our workplace symphony. From managing inventory and coordinating events to being the first point of contact for visitors, your work creates the environment where our teams can do their best work. You are the proactive problem-solver who anticipates needs before they arise, making you essential to our culture and our success.
What You'll Accomplish

Mail & Logistics Management

  • Be the Hub: Serve as the primary point of contact for all incoming and outgoing mail, shipping, and deliveries, ensuring everything is sorted, routed, and tracked with precision.
  • Master the Flow: Monitor shared inboxes and coordinate shipping for meetings and events, ensuring time-sensitive documents get where they need to go.

Inventory & Supply Management

  • Never Miss a Beat: Manage office supply and food inventory to ensure consistent availability, placing recurring orders and maintaining organized storage systems.
  • Anticipate Needs: Partner with Finance and People Operations to manage costs and anticipate seasonal or operational needs to prevent any disruptions.

IT & Workspace Coordination

  • Enable Success: Coordinate with IT on ordering, setup, and maintenance of all office equipment.
  • Welcome Aboard: Prepare workspaces for new employees, manage IT inventory, and support onboarding/offboarding activities to ensure seamless transitions.

Event Planning & Execution

  • Create Culture: Support the planning and execution of employee and visitor events, from birthday brunches to holiday celebrations, that reinforce our fun and collaborative culture.
  • Own the Details: Coordinate all logistics, including scheduling, space setup, and food orders, to ensure events are memorable and run flawlessly.

Facilities & Reception

  • Maintain Our Space: Serve as the primary liaison with building management and vendors to coordinate maintenance and repairs, ensuring a clean, safe, and functional office.
  • Be the Face of Havenpark: Serve as a welcoming, professional first point of contact for all visitors, providing hospitality and light administrative support.

Qualifications & Requirements

  • 5+ years of experience in office management, administrative support, or a related role.
  • Strong learning agility with the ability to pick things up quickly.
  • High attention to detail and exceptional organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Ability to work independently with minimal supervision and strong judgment.
  • Treat sensitive information with the utmost confidentiality.
  • Be a role model in promoting the Havenpark culture and living our values of respect, collaboration, grit, boldness, and stewardship.
  • Reliable vehicle, valid driver's license, and the ability to pass a background check.
