Job Description
Position Summary:
The Office Coordinator position is responsible for managing the day-to-day operations of the office, executive calendar management and sales and operations support.
Major Job Accountabilities:
Office Administration
· Answer phones, maintain a neat and clean office environment, open and distribute mail, coordinate shipping and receiving, data entry, filing, binding, order office supplies, stock kitchen, and maintain office space and equipment
· Schedule meetings for large groups
· Oversee record retention and maintenance of file system
· Coordinate all office visits
· Process all Non-Disclosure Agreements
· Coordinate new computer orders and track all hardware
· Serve as main contact for all building facility vendors and issues
· Serve as point of contact for external IT vendor as it relates to on/offboarding and equipment
· Manage specific vendor relationships
· Maintain office security access
· Coordinate and schedule all company events
· Manage Logistics for all employee events
· Book travel
· Assist with recruiting efforts, conduct phone screens, coordinate on-site interviews, and serve as main contact for internship programs
· Facilitate new hire employee orientation and documentation for all incoming employees
· Manage the employee termination process
· Other duties as requested
Executive Support
· Maintain/Manage President’s calendar
· Support President and COO as requested
Sales and Operations Support
· Complete customer screenings
· Manage visitor control and tracking procedure
· Attend Conferences as requested and assist with event logistics
· Assist in selecting and managing inventory of promotional items
Education
· Associates or Bachelor Degree Preferred
