What we are looking for:

The Oregon Department of Forestry is looking for an OFFICE SPECIALIST 2 to provide a wide variety of secretarial, technical, and administrative related tasks in support of an agency program or operation. Provide administrative support and specialized technical functions serving as the Notification of Operations Clerk. Provide administrative support to all departmental programs, each with unique policies, guidelines, rules and programmatic purposes.

Secretarial/Administrative: Serves as Office Support for Agency. Types a variety of correspondence, reports, memos, or other information. Composes and types correspondence, reports, memos and other documents; receives telephone and personal callers.

Record Processing/Technical: Performs record processing activities requiring independent judgment to make decisions or select a course of action based on laws, rules, policies, and procedures within a particular program or operation.

Some examples of records processing activities are as follows:

  • Reviews applications, forms, or other documents for compliance with established criteria; ensures that all necessary documentation is provided and is complete: issues permits applications based upon review.
  • Determines and initiates action within established policies and procedures to resolve problems with records, billings, payments, and collects and compiles data requiring specialized program knowledge as well as judgment in selecting from a variety of reports, computer printouts, logs, etc.; to provide information regarding new and/or changes to policies and procedures of the work unit.
  • Employees in this class review materials for proper completion and accuracy against manual and computer-generated reports, making corrections where needed; directly input information into computerized system or codes for input by others.

Information and Assistance: Responds to inquiries about specific agency/program information and services or directs inquiries as necessary; explains and clarifies rules, processes, and procedures to clientele; provides information about services available; receives incoming calls and routes calls to appropriate staff.

Minimum Qualifications:

Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents;

OR

An associate degree in any field;

OR

An equivalent combination of education and experience.

Note: Driver's License Check- This position requires the operation of a state vehicle for the purpose of conducting official State business. If your license is from outside Oregon, you must submit at least a three-year court/DMV printout. If you have an Oregon driver's license, a record check will be conducted on top candidate to ensure a valid license and acceptable driving record.

  • Customer Service & Flexibility- This includes answering questions, offering suggestions, helping with problems and complaints, and providing a seamless and positive experience through various channels like in-person, email, or chat. Adapt to changing circumstances, solve unexpected problems, and be open to new ideas. We are looking for open-mindedness, resilience, problem-solving and creativity. Be able to effectively work with stressed customers both in person and over the phone.
