Job Description

Summary

The Parts Inventory Coordinator located at our Flight school is responsible for overseeing all inventory management functions within our general aviation maintenance shop. This role includes ordering, receiving, stocking, and tracking aircraft parts and supplies, ensuring inventory accuracy, maintaining compliance with FAA regulations, and supporting maintenance operations across the organization. The Parts Inventory Coordinator plays a key role in optimizing inventory levels to support safe and efficient flight operations.

Essential Functions

  • Order and track aircraft parts, tools, lubricants, and consumables for maintenance operations.
  • Manage all inventory levels to ensure parts availability while minimizing excess stock.
  • Receive incoming shipments; verify packing slips and match to purchase orders.
  • Maintain compliance with FAA regulations concerning parts labeling, storage, and traceability.
  • Coordinate with maintenance technicians and supervisors to forecast parts needs.
  • Input purchase orders and inventory data into aviation maintenance software systems.
  • Process returns, core charges, and warranty claims with vendors.
  • Support accounts payable by ensuring accurate documentation of purchases and deliveries.
  • Conduct regular physical inventories and cycle counts; reconcile discrepancies.
  • Maintain organized and clean stockrooms according to aviation safety standards.
  • Assist with AOG (Aircraft on Ground) situations by expediting critical part orders.
  • Generate and analyze inventory and usage reports.
  • Perform other duties as assigned.

Knowledge / Skills

  • High attention to detail and organizational skills.
  • Solid understanding of general aviation aircraft parts and maintenance procedures.
  • Knowledge of FAA parts traceability and inventory control best practices.
  • Excellent communication and customer service skills.
  • Ability to handle multiple priorities in a fast-paced environment.
  • Intermediate computer skills including Microsoft Word, Excel, Outlook.

Qualifications

Education and Work Experience

  • High School diploma or GED required
  • Associate degree or technical training in aviation maintenance or supply chain preferred
  • 1 year experience in inventory or purchasing preferred
  • Three (3) year's experience in inventory or purchasing, preferably in aviation maintenance preferred

The employee must frequently lift and/or balance up to 10 pounds and occasionally lift and/or move up to 50 pounds. Work is normally performed in a typical interior/office work environment. Specific vision abilities required by the job include close vision, distance vision, peripheral vision, and depth perception.
