Job Summary

The Patient Services Representative I (PSR I) performs a variety of clerical and administrative tasks aligned with hospital policies, protocols, and applicable regulations. This role ensures absolute confidentiality of patient-related information, maintaining compliance with HIPAA guidelines. The PSR I is responsible for patient registration, scheduling, and supporting hospital operations while fostering effective communication between patients, providers, and healthcare teams.

This role requires collaboration across departments and with external healthcare offices to uphold the values and goals of the organization in a dynamic healthcare environment.

Key Responsibilities

  • Greet patients and visitors professionally in person or over the phone, embodying the principles of "The Gritman Way."
  • Maintain a positive attitude and work collaboratively with all staff and departments.
  • Monitor call queues and lobby wait times, addressing issues promptly.
  • Uphold patient confidentiality and privacy rights.
  • Accurately input quality notes and maintain comprehensive patient accounts.
  • Perform tasks such as scheduling appointments, collecting copays, and handling outstanding balances.
  • Keep the reception area clean and organized.
  • Maintain and reconcile cash drawers.
  • Assist with patient portal registration and chart preparation.
  • Address patient concerns/complaints through effective communication and problem-solving.
  • Process medical record requests and perform opening/closing duties.
  • Ensure accurate data entry, including insurance information and demographic updates.

Work Experience

  • Must have experience with computers and basic office functions, including message-taking, cash drawer balancing, and data entry.
  • Prior experience in a medical office is preferred.

Skills and Abilities

  • Excellent customer service and communication skills.
  • Ability to work independently and think critically.
  • Proficient in navigating computer programs and multi-line phone systems.
  • Demonstrate flexibility and adaptability in a fast-paced environment.

Working Conditions

  • Population Served: Neonatal, pediatric, adolescent, adult, and geriatric populations of all sociopolitical, socioeconomic, and cultural backgrounds.
  • Physical Demands: Fast-paced office environment requiring lifting (
  • Environmental Conditions: Primarily indoors with occasional exposure to outdoor conditions.
  • Shift: this position is a half-time (20 hours / week) nights position on the weekends.
