Job Summary

The Procurement Operations Analyst plays a critical role in optimizing procurement processes, ensuring efficient vendor management, and driving cost-saving opportunities. Reporting to the Procurement Director, this role collaborates cross-functionally to analyze spend data, manage contracts, and support strategic sourcing initiatives. This position also provides growth opportunities, including training to manage low-value purchases and renewals. The ideal candidate is proactive, data-driven, and passionate about driving operational efficiencies in a dynamic environment.

Principal Duties and Responsibilities

  • Analyze contract management and ERP data to identify savings opportunities, risks, and support spend forecasting.

  • Build and maintain dashboards to track spend, savings, and procurement KPIs, delivering actionable insights to leadership.

  • Conduct professional services audits to eliminate redundant contracts and optimize spend.

  • Support strategic sourcing by researching vendors and recommending inclusions in competitive bids.

  • Monitor supplier performance and market trends to propose improvements and mitigate risks.

  • Facilitate supplier onboarding and purchase requests in Coupa, ensuring compliance and accuracy.

  • Manage contracts in the source-to-pay system to ensure alignment with contractual terms and compliance tracking.

  • Oversee the NDA process, including drafting, reviewing, and maintaining accurate records.

  • Conduct vendor reviews with stakeholders to assess performance, usage, and opportunities for improvement.

  • Maintain accurate procurement records to support audits and compliance reviews.

  • Contribute to procurement policy development and adoption of best practices to improve efficiency and reduce costs.

  • Collaborate with finance, legal, and operations teams to align procurement activities with budgets, policies, and regulations.

  • Troubleshoot procurement-related issues (invoice discrepancies, supply chain disruptions) with vendors and internal partners.

Experience and Education

  • Bachelor's degree in Business Administration, Supply Chain Management, Finance, or a related field.

  • 2-3 years of experience in procurement, operations analysis, or a similar role; technology or corporate background preferred.

  • Proficiency in procurement and contract management systems (Coupa, IronClad, Netsuite).

  • Experience with data visualization tools such as Tableau or Power BI strongly preferred.

  • Financial analysis, spend forecasting, and vendor management experience.

Preferred Skills and Abilities

  • Strong analytical skills with ability to interpret complex datasets and recommend solutions.

  • Excellent communication and stakeholder management skills.

  • Highly organized and detail-oriented, with the ability to manage multiple priorities.

  • Knowledge of procurement best practices, contract management, and legal basics (e.g., NDAs, vendor agreements).

  • Advanced Excel proficiency; SQL or querying skills a plus.

  • Ability to work independently and thrive in a fast-paced environment.
