Job Summary:
The Project Coordinator, Enterprise will provide essential administrative and operational support to the Enterprise Sales and Partnership Development & Insights teams. This entry-level role is critical in ensuring seamless execution of client engagements, internal processes, and enterprise initiatives across Centennial Yards, Live Nation, future JSA/JV relationships, and other Business Enterprise platforms.
The Project Coordinator will manage day-to-day administrative tasks, including notetaking, follow-up, and project management of action items from client calls and internal meetings. Additional responsibilities include coordinating and scheduling meetings and on-site visits, managing digital signage scheduling and reporting, supporting CRM/KORE operations, and assisting in the creation of storytelling materials, proposals, and proof-of-performance reports. This role will work closely with the Sr. Director of Enterprise Sales, VP of Partnership Development & Insights, Manager of Partnership Development, and the entire Global Partnerships team to ensure operational excellence and client satisfaction.
Responsibilities:
Administrative & Project Coordination
Attend client and internal meetings (e.g., Live Nation, Centennial Yards, future JSA/JV partners, sponsorship clients and prospects) to capture detailed notes and action items; ensure timely follow-up and accountability
Coordinate and schedule meetings, calls, and on-site visits for clients and prospective partners
Maintain organized project timelines and deliverables across multiple enterprise initiatives
Digital Signage & Reporting
Manage scheduling, trafficking, and reporting for Centennial Yards out-of-home signage and future DOOH boards overseen by the Enterprise team
Ensure accurate proof-of-performance documentation for all signage activations
Sales & Partnership Support
Assist in developing storytelling materials, go-to-market decks, and partnership proposals, incorporating data analysis and actionable insights to strengthen narratives
Support operational management and upkeep of CRM systems (Salesforce, KORE) including data entry, pipeline updates, and reporting
Collaborate with internal teams (Leadership, Enterprise Sales, Partnership Development, Hawks Studios) to ensure timely delivery of client-facing materials
Operational Excellence
Maintain and update enterprise dashboards, Smartsheets, and reporting tools
Support rate card updates, inventory tracking, and quality control of outgoing proposals
Contribute to workflow efficiencies and best practices across the Enterprise and PDI teams
Conduct ongoing industry research to monitor market trends, emerging technologies, and best practices; share insights with the team to inform strategies and client solutions
Cross-Functional Collaboration
Build strong relationships internally and externally to facilitate smooth execution of enterprise initiatives
Provide ad hoc support for marquee events, activations, and hospitality programs as needed
Other duties as assigned
Qualifications:
Bachelor's degree in business, marketing, sports management, or related field preferred
1-3 years of experience in project coordination, partnerships, or administrative support
Strong organizational skills with the ability to project manage multiple priorities and deadlines
Excellent written and verbal communication skills; ability to capture and synthesize meeting notes effectively
Ability to create compelling presentations and visual storytelling materials for internal and external audiences
Comfortable speaking and presenting to senior leadership and C-suite executives in a professional setting
Revenue-minded individual with a strong interest in brand marketing, sponsorship, digital advertising and partnership development
Proficiency in Microsoft Office Suite; familiarity with CRM tools (Salesforce, KORE) and project management platforms preferred
Detail-oriented with a proactive mindset and willingness to learn
Demonstrates strong critical thinking skills
Ability to work evenings, weekends, and attend events and/or travel as needed
